Job Summary
We are seeking a highly organized, detail-oriented, and dependable Administrative Assistant to join our team. The ideal candidate will play a key role in supporting daily office operations, customer service, logistics coordination, purchasing activities, inventory management, and accounting-related tasks. This position requires a proactive individual who can multitask effectively, thrive in a fast-paced environment, and maintain a positive, professional attitude.
Responsibilities
- Provide front desk support by greeting customers, vendors, and visitors in a professional and courteous manner.
- Answer and direct incoming phone calls and emails promptly and professionally.
- Assist with customer service inquiries and ensure timely resolution of customer needs.
- Manage and maintain organized electronic and paper filing systems.
- Enter customer orders accurately into the company system and generate invoices.
- Process and track purchase orders (POs).
- Coordinate inbound and outbound shipments, trucking, and freight activities.
- Receive incoming shipments and verify quantities against purchase orders and packing slips.
- Communicate with vendors and suppliers regarding orders, deliveries, and discrepancies.
- Order and maintain office supplies to ensure the office remains fully stocked.
- Perform data entry, document preparation, report generation, and other administrative tasks.
- Perform additional administrative and office support duties as assigned.
Experience
- Previous experience in an administrative, office assistant, customer service, inventory, purchasing, or logistics role preferred.
- Proficiency in Microsoft Office Suite, including:
- Knowledge of purchase order processing, inventory management, and receiving procedures.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Strong customer service and problem-solving abilities.
- Ability to listen carefully, follow directions, and work independently.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience coordinating shipments, trucking, freight, or logistics operations is a plus.
