Job Summary
We are seeking a professional, organized, and detail-oriented Administrative Assistant to support the daily operations of our small law firm. As the first point of contact for clients, visitors, attorneys, and business partners, this individual plays an integral role in creating a positive client experience and ensuring the smooth operation of the office.
The ideal candidate is dependable, personable, and resourceful, with the ability to manage a variety of administrative responsibilities in a collaborative, fast-paced environment. This position requires strong communication skills, attention to detail, sound judgment, and a willingness to assist wherever needed to support the firm's clients and legal team.
Duties
- Answer, screen, and direct incoming telephone calls in a professional and courteous manner.
- Greet and assist clients, visitors, and vendors, ensuring a welcoming and professional office environment.
- Maintain clean, organized, and professional reception, conference room, and common office areas.
- Prepare, edit, proofread, and format legal documents, correspondence, and other firm-related materials.
- Research public records and obtain deeds, certificates, and other required documentation.
- Open, maintain, organize, and close electronic and physical client files, ensuring accuracy, confidentiality, and compliance with firm recordkeeping procedures.
- Perform filing, scanning, copying, faxing, typing, and data entry with a high level of accuracy.
- Coordinate incoming and outgoing mail, courier services, package deliveries, and certified mail.
- Monitor and order office supplies, mailing supplies, breakroom supplies, and other materials necessary to support daily office operations.
- Assist with the maintenance and operation of office equipment, including printers, copiers, scanners, and fax machines.
- Provide administrative support to attorneys, partners, and the Business Manager, including special projects and other duties as assigned.
- Work collaboratively with all members of the firm to ensure efficient day-to-day operations and exceptional client service.
Qualifications
- Minimum of three (3) years of administrative or office support experience, preferably in a legal, professional service, or small office environment.
- Strong organizational, multitasking, and time-management skills with the ability to prioritize competing responsibilities.
- Excellent verbal and written communication skills.
- Professional appearance, demeanor, and commitment to outstanding client service.
- Proficiency in Microsoft Word, Outlook, and other Microsoft Office applications.
- Ability to handle confidential information with discretion and professionalism.
- Strong attention to detail and commitment to accuracy.
- Self-motivated, dependable, and capable of working independently while contributing to a team-oriented environment.
- Positive attitude and willingness to take on a variety of responsibilities as needed in a small firm setting.
This is a full-time, office-based position requiring regular on-site attendance during standard business hours. The successful candidate will join a close-knit team where flexibility, professionalism, and a client-centered approach are highly valued. Pay: $26.00 - $30.00 per hour
