Position Summary
The Front Office team member is responsible for creating a welcoming first impression for patients and ensuring efficient day-to-day administrative support. This role balances patient service, scheduling, check-in/check-out processes, and coordination with the clinical team to keep appointments and workflow running on time.
You will help maintain accurate records, handle routine inquiries professionally, and contribute to a positive patient experience from arrival through follow-up.
Key Responsibilities
- Greet patients and visitors in a courteous, professional manner while maintaining patient confidentiality
- Manage appointment scheduling, confirmations, and rescheduling to support clinic workflow
- Complete check-in and check-out tasks, including verifying information and processing routine payments as needed
- Verify insurance coverage, process claims, and handle billing using systems like Epic, Meditech, or Athenahealth while adhering to HIPAA regulations
- Handle incoming phone calls and front-desk requests, routing issues to the appropriate team member
- Maintain accurate and organized medical records, dental records, and office files in compliance with health information management standards
- Assist with intake procedures, patient registration, and documentation review to ensure completeness and accuracy
Required Qualifications
- Previous experience in a front office, customer service, or administrative role in a fast-paced environment in a dental office.
- Proficiency in using dental practice management software (curve).
- Kwoledge of medical imaging systems and medical record.
- Verify insurance coverage and process insurance claims.
- Collect payments and maintain accurate financial records.
- Ensure compliance with infection control protocols and maintain a clean and safe reception area.
- Mainten patient records, including medical history and treatment plans.
- Strong communication skills with the ability to interact professionally with patients and team members
- Comfortable handling multiple tasks, prioritizing effectively, and maintaining attention to detail
- Basic computer and data-entry skills with the ability to learn practice systems quickly
- Reliable attendance and a commitment to delivering a consistent, positive patient experience
Preferred Qualifications
- Experience in a dental or healthcare front office environment.
- Familiarity with patient scheduling workflows and basic medical/dental terminology.
- Experience working with insurance-related processes or documentation (training provided as needed).
- Demonstrated ability to remain calm and solution-focused during busy periods.
- A strong service mindset and willingness to support the team wherever needed.
