FMG Enterprises of New England, Inc., is a family-owned facilities and maintenance repair company based in Lewiston, Maine. We provide facilities repair services to commercial customers in MA, RI, NH, & ME and we are quickly growing!
We need an operations coordinator that can keep us on track, organized, and in line as we grow. This is a full-time, onsite position.
Duties include:
Office & Administrative Support
- Maintain and organize company (electronic) files, folders, and documentation.
- Keep office supplies stocked and maintain a clean, organized office environment.
- Answer and direct incoming office calls.
- Maintain company calendars, including employee anniversaries and time-off schedules.
- Set up email accounts for new hires.
- Maintain required business registrations, licenses, and compliance records with various states.
- Provide administrative support to management and assist with additional tasks as needed.
- Organize company meetings and events.
Financial & Billing Support
- Receive and process incoming payments with management.
- Submit technician receipts to Accounting for billing purposes.
- Assist with customer invoices processing through multiple software platforms and QuickBooks.
- Assist with preparation of customer estimates in QuickBooks.
Shop & Inventory Coordination
- Manage shop consumable inventory and supply levels.
- Coordinate ordering, delivery, and tracking of parts and materials for field crews.
- Manage specialty BOPIC panel system orders for a specific customer.
Fleet & Equipment Management
- Coordinate fleet vehicle registrations, inspections, insurance, maintenance, and GPS tracking systems.
- Schedule vehicle service and repairs with field staff and auto vendors.
- Ensure company vehicles are stocked with required safety equipment.
- Coordinate vehicle lettering and setup for new fleet vehicles.
Vendor & Employee Program Coordination
- Manage the company’s 3rd party answering service and perform periodic quality checks.
- Manage and maintain employee uniform program.
- Order, manage, and distribute employee credit cards.
- Work with IT vendor and staff to coordinate and resolve system issues and upgrades.
Qualifications
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office
- Ability to work independently and prioritize tasks effectively.
- Experience in construction administration or operations coordination preferred.
- QuickBooks experience strongly preferred.
Pay: $22.00 - $26.00 per hour
