Job Overview:
Analytic Acquisitions is seeking an experienced Scanning Lead to support a federal Retailer Service Center for the U.S. Department of Agriculture’s Food and Nutrition Service and the Supplemental Nutrition Assistance Program.
The Scanning Lead will supervise employees who prepare, scan, review, and upload retailer documents. This position will also manage incoming and outgoing mail, postage, mailroom supplies, and scanning equipment.
This individual will ensure documents are scanned clearly, placed in the correct electronic record, and handled in accordance with privacy and records rules. This is a key personnel position, and the selected candidate must be available for the full contract period

Key Responsibilities
- Lead the daily work of the scanning and mailroom team.
- Supervise scanning, document preparation, and mailroom employees.
- Assign daily work and set processing priorities.
- Receive, open, sort, and organize incoming mail.
- Make sure documents are connected to the correct retailer or case.
- Prepare documents for scanning.
- Make sure all pages are scanned clearly and completely.
- Check page order, document direction, image quality, and file accuracy.
- Make sure scanned documents are uploaded to the correct electronic record.
- Review scanned files for errors or missing pages.
- Correct scanning, file, or document quality problems.
- Use or oversee OpenText scanning software and related scanning equipment.
- Manage incoming and outgoing mail.
- Sort, weigh, package, and distribute mail.
- Calculate postage and operate postage equipment.
- Make sure letters, notices, applications, and other documents are mailed on time.
- Maintain mailing, postage, and delivery records.
- Maintain scanning and mailroom supplies.
- Monitor scanning, printing, and mailroom equipment.
- Request equipment repairs or service when needed.
- Follow postal rules and mailing procedures.
- Protect private retailer and business documents.
- Support secure document storage and destruction.
- Help manage high-volume printing and mailing work.
- Provide scanning and mailing information for required reports.
- Support employee training and refresher training.
- Coordinate with the Project Manager and Intake/Application Lead.
- Maintain operations during employee absences or equipment problems.
Required Qualifications
- High school diploma or GED.
- Experience leading or supervising scanning employees.
- Experience preparing documents for scanning.
- Experience turning paper documents into clear digital files.
- Experience checking scanned files for quality and accuracy.
- Experience using OpenText scanning software or similar document scanning software.
- Experience managing incoming and outgoing mail.
- Experience sorting and distributing mail.
- Experience weighing mail and calculating postage.
- Experience maintaining mailroom supplies and equipment.
- Experience making sure correspondence is delivered on time.
- Knowledge of basic postal rules and procedures.
- Strong attention to detail.
- Strong leadership and organizational skills.
- Ability to identify and correct scanning or mailing errors.
- Ability to operate scanning, printing, and mailroom equipment.
- Ability to protect private personal and business information.
- Ability to work with employees, managers, and Government representatives.
- Ability to complete required federal identity and security screening.
- Legally authorized to work in the United States.
Preferred Qualifications
- Three or more years of scanning, document imaging, records, or mailroom experience.
- Previous experience as a team lead, supervisor, or manager.
- Direct experience using OpenText Intelligent Capture or related OpenText software.
- Experience using TWAIN-compatible scanners.
- Experience using automatic document feeders and high-volume scanners.
- Experience scanning documents at 300 DPI or higher.
- Experience indexing and uploading files into an electronic records system.
- Experience using high-volume printers, folders, inserters, or postage meters.
- Experience with bulk mailing and delivery tracking.
- Experience handling personally identifiable information or other private records.
- Experience with document storage, retention, shredding, or destruction.
- Experience supporting a federal, state, or local Government program.
- Experience working in a production setting with daily deadlines.

The selected Scanning Lead will be expected to:

- Maintain enough scanning and mailroom supplies.
- Keep scanning and mailroom equipment working properly.
- Monitor unfinished work and correct delays.
- Correct repeated scanning or mailing problems through training and better procedures.
- Provide accurate scanning and mailing information for reports.
- Maintain operations during equipment problems, employee absences, and busy periods.
- Maintain professional relationships with employees, managers, vendors, and Government representatives.
