Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression while managing the front desk operations efficiently.
- Answer multi-line phone systems promptly, directing calls accurately and professionally using proper phone etiquette.
- Manage calendar appointments, schedule meetings, and coordinate conference room bookings with precision.
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
- Handle incoming and outgoing correspondence, including proofreading documents for accuracy and clarity.
- Support bookkeeping activities using QuickBooks or similar accounting software; assist with basic bookkeeping tasks such as invoicing and expense tracking.
- Provide customer support by addressing inquiries promptly and professionally while maintaining excellent organizational skills.
- Assist with clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory.
- Support medical or dental reception duties as needed, including patient check-in/out processes and insurance documentation.
- Manage personal assistant tasks such as calendar management and travel arrangements when required.
Qualifications
- Proven office management or administrative experience with strong clerical skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
- Experience handling multi-line phone systems with professionalism; familiarity with phone etiquette is essential.
- Bilingual abilities are highly preferred to serve diverse client needs effectively.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Knowledge of QuickBooks or bookkeeping software is a plus; experience with medical or dental receptionist duties is desirable.
- Exceptional customer service skills coupled with patience and professionalism in all interactions.
- Ability to type accurately at a steady pace while proofreading documents for errors.
- Familiarity with office equipment such as printers, scanners, fax machines, and filing systems.
