About the Role
Austin Laser Solutions is looking for a highly organized, detail-oriented Team Coordinator to support our operations and client experience behind the scenes.
This role is ideal for someone who thrives on organization, loves checking details, enjoys solving problems, and takes pride in keeping systems running smoothly. You'll help ensure our processes are followed, documentation is accurate, clients are cared for, and nothing falls through the cracks.
While this position is primarily remote, candidates must live in the Austin area and be available to come into the office when needed for training, projects, or operational support.
Key Responsibilities
Client Care, Communication & Sales Support
- Respond to client inquiries through phone, text, email, and other communication channels
- Follow up with leads, consultations, and prospective clients in a timely manner
- Help convert inquiries into booked appointments and package purchases
- Educate clients on services, packages, pricing, and promotions
- Assist with appointment confirmations, cancellations, reschedules, and no-show follow-up
- Identify opportunities to rebook clients and recommend appropriate services based on their goals
- Support promotional outreach, client retention efforts, and revenue-generating initiatives
- Ensure client requests are documented, tracked, and routed appropriately
- Maintain accurate communication notes and client records within company systems
- Deliver a positive, professional client experience through timely communication and follow-through
- Support monthly sales and operational goals through consistent client engagement and follow-up
Administrative & Documentation Oversight
- Review and audit internal documentation for accuracy and completeness
- Verify required forms and records are properly completed and stored
- Correct errors and maintain organized, up-to-date records
- Identify trends, recurring issues, or areas needing improvement
Operations & Process Support
- Monitor adherence to internal procedures and company standards
- Follow up on incomplete tasks, missing documentation, or process gaps
- Identify and escalate operational concerns when necessary
- Support workflow improvements and operational efficiency initiatives
Tracking & Reporting
- Maintain internal tracking sheets and shared documents
- Review reports for accuracy and completeness
- Assist leadership with administrative projects, audits, and operational reviews
- Ensure important information is properly documented and communicated
