Position Summary
Simple & Serene Detox & Recovery is seeking a dependable, organized, and highly motivated Operations Manager to oversee the day-to-day operational functions of our detoxification and recovery facility.
The Operations Manager is responsible for ensuring the facility operates safely, efficiently, professionally, and consistently 24 hours a day. This position serves as a key connection between executive leadership, clinical services, nursing, Behavioral Health Technicians (BHTs), admissions, administrative personnel, and outside vendors.
The Operations Manager will take ownership of daily facility operations, staff coordination, scheduling, supplies, environmental standards, operational systems, and administrative processes while supporting compliance with organizational policies and applicable regulatory requirements.
This is a hands-on leadership position. The ideal candidate is someone who sees problems before they become problems, takes ownership, follows through, communicates effectively, and can successfully manage multiple priorities in a fast-paced behavioral healthcare environment.
Essential Duties & ResponsibilitiesDaily Facility Operations
- Oversee the day-to-day non-clinical operations of Simple & Serene Detox & Recovery.
- Ensure the facility remains operational, organized, safe, clean, and prepared for clients 24/7.
- Conduct regular facility walkthroughs and identify operational, safety, maintenance, and supply needs.
- Coordinate resolution of facility and operational issues.
- Ensure operational policies and procedures are consistently followed.
- Maintain effective communication between departments and leadership.
- Identify operational inefficiencies and implement solutions to improve workflow.
- Assist executive leadership with implementation of new systems, processes, and operational initiatives.
Staff Management & Scheduling
- Provide operational supervision and leadership to BHTs and other assigned non-clinical personnel.
- Develop and maintain employee schedules to ensure adequate 24/7 facility coverage.
- Coordinate call-outs, shift coverage, schedule changes, and staffing needs.
- Monitor attendance, punctuality, professionalism, and employee performance.
- Participate in interviewing, hiring, onboarding, orientation, and training of new employees.
- Ensure employees complete required training, certifications, and personnel documentation.
- Provide coaching and corrective feedback when operational or performance expectations are not met.
- Escalate significant employee concerns to executive leadership or Human Resources as appropriate.
- Help build a culture of accountability, teamwork, professionalism, and exceptional client care.
BHT Operations
- Coordinate day-to-day BHT operations and shift assignments.
- Ensure client observation and safety rounds are completed according to facility policy.
- Monitor completion of required BHT documentation.
- Ensure appropriate shift-to-shift communication and handoffs.
- Coordinate client transportation and operational assignments.
- Ensure BHTs understand facility expectations, emergency procedures, client boundaries, confidentiality requirements, and their scope of responsibility.
- Work closely with nursing and clinical leadership when client concerns require clinical or medical intervention.
The Operations Manager does not independently make medical or clinical decisions unless separately qualified and authorized to do so.
Admissions & Client Flow
- Support an efficient admission and discharge process.
- Coordinate with admissions, nursing, clinical staff, and BHTs regarding incoming clients.
- Ensure rooms are prepared prior to admissions.
- Help coordinate client belongings, transportation, facility orientation, and discharge logistics.
- Monitor facility census and bed availability from an operational perspective.
- Assist leadership in improving admission response times and reducing unnecessary barriers to admission.
- Ensure the facility maintains a welcoming, professional, and organized environment for clients and families.
Facility Management
- Coordinate routine maintenance and repairs.
- Maintain relationships with approved vendors and service providers.
- Monitor housekeeping and environmental services.
- Ensure client rooms and common areas meet facility standards.
- Coordinate pest control, waste management, landscaping, security, and other facility services as applicable.
- Maintain appropriate inventories of operational and household supplies.
- Coordinate ordering and restocking of approved supplies.
- Ensure emergency equipment and operational supplies are readily accessible.
- Report significant facility or safety concerns immediately to executive leadership.
Inventory & Purchasing
- Maintain appropriate inventory levels for facility supplies.
- Monitor usage and identify unnecessary waste or excessive spending.
- Coordinate purchasing within approved budgets and purchasing procedures.
- Maintain relationships with vendors and identify opportunities for cost savings.
- Track recurring facility expenses and assist leadership with operational budgeting.
- Ensure invoices, receipts, and purchasing documentation are properly maintained and submitted.
Compliance & Documentation
- Support facility compliance with organizational policies and applicable regulatory requirements.
- Maintain required operational logs, checklists, inspection records, and administrative documentation.
- Assist with preparation for licensing inspections, audits, accreditation surveys, and other regulatory reviews.
- Monitor completion of required employee credentials, training, background documentation, and personnel requirements in coordination with administration.
- Participate in corrective action and performance improvement initiatives.
- Maintain confidentiality of client and employee information.
- Ensure compliance with HIPAA and applicable confidentiality requirements.
Safety & Emergency Preparedness
- Help maintain and implement emergency preparedness procedures.
- Ensure staff understand emergency protocols, evacuation procedures, and incident reporting requirements.
- Participate in emergency drills and safety training.
- Ensure incidents and unusual occurrences are reported and escalated appropriately.
- Coordinate with leadership regarding workplace safety concerns.
- Promote a safe environment for clients, visitors, and employees.
Technology & Administrative Systems
- Assist employees with operational use of approved systems, including the electronic medical record (EMR), scheduling, communication, timekeeping, and other administrative platforms.
- Ensure employees have appropriate system access based on their position.
- Coordinate onboarding and termination access with leadership.
- Identify workflow problems and recommend system improvements.
- Help ensure operational documentation is organized and readily available when needed.
Quality Improvement
- Participate in leadership meetings and quality improvement initiatives.
- Track operational issues and identify recurring trends.
- Develop solutions that improve efficiency, client experience, staff accountability, and facility performance.
- Monitor operational performance indicators established by executive leadership.
- Assist in implementing corrective action plans when deficiencies are identified.
Minimum Qualifications
- High school diploma or GED required.
- Previous supervisory, management, or operations experience.
- Strong organizational and leadership skills.
- Experience managing employees and schedules.
- Ability to work effectively in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to maintain confidential information.
- Valid driver's license and acceptable driving record when transportation responsibilities are assigned.
- Ability to successfully complete applicable background, fingerprinting, drug screening, and employment requirements.
Preferred Qualifications
- Associate's or bachelor's degree in business administration, healthcare administration, behavioral health, human services, or a related field.
- Two or more years of supervisory or management experience.
- Previous experience in behavioral health, substance use disorder treatment, detoxification, residential treatment, healthcare, or another 24-hour facility.
- Experience supervising Behavioral Health Technicians or direct-care personnel.
- Experience with staff scheduling, payroll/timekeeping systems, EMRs, inventory management, and facility operations.
- Familiarity with Arizona behavioral health regulations and healthcare compliance.
- Experience preparing for regulatory or accreditation surveys.

Schedule & Availability
Simple & Serene Detox & Recovery operates 24 hours per day, seven days per week.
The Operations Manager's primary schedule will generally be during normal business hours; however, this position requires flexibility based on facility needs. Some evenings, weekends, holidays, and after-hours availability may be necessary.
The Operations Manager may participate in an administrative on-call rotation and should be available to assist with significant staffing, facility, or operational issues when necessary.
