Service Manager
About the Role
The Service Manager plays a key role at Columbus Energies, serving as the main point of coordination between our customers, service technicians, and management team. Prior management experience is a MUST. This position keeps daily service operations running smoothly by managing scheduling, dispatching, communication, and follow-up for heating service calls and installations.
We have kept homes across Southeastern Massachusetts and Rhode Island comfortable for decades, and this role helps us keep that promise. It is fast-paced and detail-oriented, and it directly affects customer satisfaction, technician efficiency, and overall service quality. The right person is organized, can manage a team of 10, calm under pressure, and comfortable handling no-heat situations with urgency and care.
Key Responsibilities
● Managing your team effectively and efficiently with extreme detail
● Schedule and dispatch service technicians for daily service calls, including no-heat emergencies, maintenance, and tune-ups
● Prioritize calls based on location, urgency, weather conditions, and customer needs
● Serve as a primary point of contact for customers by phone and email, answering questions and sharing appointment details and ETAs
● Review and assign service tickets with accurate information on equipment type, site conditions, and service history
● Coordinate parts ordering and work with vendors so technicians have the materials they need
● Track and manage service documentation, work orders, and invoices within company systems
● Assist with permit coordination for installations and make sure service activities meet safety and code requirements
● Make follow-up calls to confirm customer satisfaction and help spot recurring service issues
● Maintaining proper inventory levels
Qualifications and Skills
● 5 years minimum management experience
● Previous experience in the energy industry, HVAC, or service dispatching preferred
● Familiarity with oil burner systems, propane systems, or HVAC equipment strongly preferred
● Strong communication skills, with the ability to stay professional and reassuring during high-stress situations
● Excellent organizational and multitasking abilities in a fast-moving environment
● Comfort using scheduling software, CRM systems, and Microsoft Office applications
● Ability to work well with technicians, office staff, and management
Schedule and Work Environment
● Full-time, in-office position
● Generally, Monday through Friday
● May assist with coordination of on-call or after-hours service schedules
