Breakthrough Therapy Center (BTC) is seeking a highly organized, dependable, and motivated Center Manager to oversee the day-to-day operations of our ABA/EIDBI clinic. The Center Manager plays a critical leadership role in ensuring the clinic operates efficiently, safely, professionally, and in alignment with organizational policies and applicable EIDBI requirements.
The ideal candidate is a strong operational leader who can manage multiple priorities in a fast-paced behavioral health environment. This individual must demonstrate excellent communication, accountability, problem-solving skills, cultural competency, flexibility, and the ability to adapt quickly to changing operational and client needs.
The Center Manager will work closely with executive leadership, clinical leadership, BCBAs/QSPs, therapists, administrative staff, families, and other stakeholders to ensure effective coordination between clinical and operational functions.
This position is ideal for someone who takes ownership, follows through on responsibilities, holds teams accountable, identifies problems before they become larger issues, and is committed to creating an organized and supportive environment for clients, families, and staff.
Key ResponsibilitiesCenter Operations & Administration
- Oversee the daily operations of the clinic and ensure the center is prepared, organized, appropriately staffed, and operating efficiently.
- Coordinate daily client and staff schedules and address scheduling conflicts, call-outs, coverage needs, cancellations, and operational changes.
- Monitor client attendance, staff attendance, scheduling accuracy, and service utilization.
- Oversee client intake and enrollment workflows in collaboration with administrative and clinical teams.
- Ensure operational processes are completed accurately and within required timelines.
- Maintain organized operational records, documentation, reports, and administrative systems.
- Utilize company software and technology platforms to monitor schedules, attendance, documentation, operational performance, and other assigned metrics.
- Ensure the physical clinic environment remains professional, organized, safe, clean, and appropriately supplied.
- Coordinate facility needs, supplies, equipment, maintenance requests, and other center-related operational matters.
- Identify operational inefficiencies and recommend improvements to leadership.
Staff Leadership & Accountability
- Provide day-to-day operational leadership and supervision to assigned center staff.
- Establish clear expectations and hold employees accountable for attendance, professionalism, communication, documentation, schedules, and organizational policies.
- Support onboarding and orientation of new employees.
- Monitor staff performance and address operational concerns promptly and professionally.
- Conduct or participate in staff meetings, coaching conversations, performance reviews, and corrective action processes as assigned.
- Promote teamwork and effective communication between clinical and operational departments.
- Escalate significant employee, client, compliance, or operational concerns to appropriate leadership.
- Maintain appropriate professional boundaries and confidentiality when handling employee and client matters.
- Help build a culture of accountability, professionalism, respect, teamwork, and continuous improvement.
Clinical & Operational Coordination
- Work closely with BCBAs, QSPs, clinical supervisors, and other clinical leaders to ensure operational systems support client treatment needs.
- Coordinate staffing and scheduling needs with clinical leadership.
- Monitor operational follow-through on clinical requests and communicate barriers promptly.
- Support clinical leadership with implementation of center-wide initiatives while maintaining appropriate separation between clinical decision-making and administrative responsibilities.
- Ensure operational concerns that may affect client services are communicated to clinical leadership promptly.
- Participate in interdisciplinary leadership meetings and assist with follow-through on assigned action items.
The Center Manager does not independently make clinical treatment decisions unless separately qualified and authorized to do so.
EIDBI, Compliance & Quality Assurance
- Support center compliance with applicable EIDBI requirements, organizational policies, payer requirements, documentation standards, health and safety requirements, and other applicable regulations.
- Work with clinical and administrative leadership to prepare for internal audits, external reviews, site visits, and compliance monitoring.
- Monitor completion of required operational documentation and escalate missing or overdue items.
- Help ensure employee credentials, training requirements, background studies, and other required records are maintained and monitored by the appropriate departments.
- Maintain confidentiality and follow HIPAA and organizational privacy requirements.
- Report potential compliance concerns, incidents, safety issues, or policy violations through appropriate channels.
- Participate in quality-improvement initiatives and implementation of corrective action plans when needed.
Client & Family Experience
- Help maintain a welcoming, respectful, culturally responsive, and family-centered environment.
- Build professional relationships with parents and caregivers and ensure operational concerns are addressed promptly.
- Coordinate with appropriate clinical staff when parent concerns involve treatment or clinical decision-making.
- Assist with resolving scheduling, transportation, attendance, communication, and other operational concerns affecting families.
- Promote clear and consistent communication between families and the center.
- Handle sensitive situations professionally while maintaining confidentiality and appropriate boundaries.
Safety & Center Readiness
- Ensure established safety procedures are followed throughout the center.
- Monitor the clinic environment for potential safety concerns and ensure identified issues are addressed or escalated.
- Support emergency preparedness procedures, drills, incident reporting, and staff awareness of safety protocols.
- Ensure appropriate opening and closing procedures are followed.
- Respond appropriately to urgent operational issues affecting client or staff safety.
Performance & Reporting
- Monitor key center performance indicators such as:
- Client attendance and cancellations
- Staff attendance and call-outs
- Scheduling and coverage
- Service utilization
- Documentation completion
- Staffing needs
- Overtime and labor utilization
- Operational incidents
- Family concerns
- Center readiness and compliance items
- Provide regular operational updates to executive leadership.
- Identify trends, risks, staffing concerns, and opportunities for improvement.
- Develop action plans and ensure assigned initiatives are completed within established deadlines.
Additional Responsibilities
- Collaborate with executive leadership on center growth, staffing, operational planning, and continuous improvement.
- Support organizational initiatives and projects as assigned.
- Maintain flexibility to respond to urgent center needs.
- Be reasonably available for urgent operational matters outside normal working hours when necessary, consistent with organizational expectations and applicable employment policies.
- Perform other duties reasonably related to the Center Manager position.
QualificationsRequired
- Previous experience in ABA, EIDBI, behavioral health, healthcare operations, human services, education administration, clinic management, or a related setting.
- Demonstrated leadership or supervisory experience.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Ability to lead teams and maintain accountability in a fast-paced environment.
- Strong written and verbal communication skills.
- Strong problem-solving and decision-making abilities.
- Ability to communicate professionally with staff, families, leadership, and external stakeholders.

- Proficiency with Microsoft Office, Google Workspace, scheduling systems, electronic documentation systems, and/or similar administrative technology.
- Ability and willingness to learn new software and operational systems.
- Reliable attendance and consistent professional conduct.
Preferred
- Previous management experience within an ABA or EIDBI provider organization.
- Working knowledge of Minnesota EIDBI services and requirements.
- Experience managing a behavioral health, healthcare, therapy, childcare, or educational center.
- Experience with employee scheduling, client scheduling, utilization management, compliance monitoring, and operational reporting.
- Experience supporting audits, licensing reviews, accreditation, or regulatory compliance.
- Bachelor's degree in Business Administration, Healthcare Administration, Psychology, Human Services, Education, Organizational Leadership, or a related field.
- Experience managing multidisciplinary teams.
