Impel Union is a used commercial truck and trailer dealership group with locations in the Chicago area and Houston, TX. We move volume, we move fast, and we need our back office to keep pace. The Title Clerk is a compliance-critical role - every deal we close runs through this desk. We're looking for a professional who takes ownership, catches errors before they become problems, and can handle a high-volume dealership environment.
The Role
This position is responsible for all title, registration, and documentation processing for commercial vehicle transactions across dealership locations. Based in Alsip, IL and Houston, TX.
This is not an entry-level role.
Key Responsibilities
- Process title applications, registrations, dealer reassignments, and ownership transfers for used commercial truck and trailer sales (retail and wholesale)
- Submit and track title work with the Illinois Secretary of State; manage all state filing deadlines
- Handle out-of-state title conversions and multi-state titling requirements
- Ensure full compliance with Illinois and out-of-state titling regulations and dealership policies
- Issue temporary plates and manage dealer plate inventory
- Process lien releases, coordinate floor plan payoffs with lenders, and resolve title corrections
- Prepare Power of Attorney documentation for remote and out-of-state transactions
- Verify accuracy and completeness of all titles, odometer statements, lien documentation, and sales tax paperwork before submission
- Maintain a real-time log of all outstanding titles across locations; provide regular status reports to management
- Resolve rejected applications, title discrepancies, and missing documentation with state agencies, county offices, lenders, and title runners
- Maintain organized, audit-ready deal files and electronic records in the dealership CRM
- Communicate professionally with banks, lenders, customers, and government agencies to ensure timely processing
- Stay current on Illinois and multi-state titling regulations
Qualifications
Required:
- Minimum 2 years of title clerk experience in an automotive, commercial vehicle, or truck dealership setting
- Demonstrated knowledge of Illinois Secretary of State dealer title processes
- Experience handling lien releases and floor plan payoff coordination
- Ability to manage high volume and competing deadlines independently without supervision
- Exceptional attention to detail - documentation errors are not an option in this role
- Professional written and verbal communication skills
Preferred:
- Title clerk experience in an automotive, commercial vehicle, or truck dealership setting
- Experience with Texas DMV (TxDMV) title processes, including Form 130-U
- Familiarity with Salesforce CRM or comparable dealership management software
- Experience with heavy-duty trucks, trailers, or commercial vehicles
- Prior work with title runners and expedited processing services
