About the Role
We're looking for an energetic, detail-oriented Patient Experience & Content Coordinator to be the daily, on-the-ground presence that keeps our practice's story, service, and referral relationships running at a high level. This is a hands-on, in-office role — you'll be capturing what happens in our practice every day, making sure every patient interaction feels exceptional, and actively nurturing the referring-dentist relationships that fuel our growth.
You'll work closely with our marketing consultant, who sets overall strategy and manages digital campaigns, while you own the daily execution: content, patient experience, and referral relationships in person.
What You'll Do
Content Capture (daily)
- Photograph and film patient moments, team highlights, office events, and before/after transformations for use across Instagram, TikTok, Facebook, and Google Business Profile
- Collect patient testimonials and reviews on the spot, at the moment of a great experience
- Maintain an organized, up-to-date content library, edit raw content and pass off to our marketing consultant for final approval prior to posting
- Support in-office events, open houses, and community sponsorship activities with real-time coverage
Customer Service Experience Management (daily)
- Actively monitor the patient journey from check-in to check-out at both locations, catching friction points before they become complaints
- Partner with front desk and clinical teams to reinforce service standards and identify improvement opportunities
- Track and report on patient satisfaction trends (reviews, direct feedback)
Referral Base Management (daily/weekly)
- Maintain and grow relationships with our network of referring dentist offices through regular in-person visits and deliveries
- Coordinate referral gifts, care packages, and thank-you touches for referring offices and referring patients
- Track referral volume by source and flag relationships that need extra attention
- Represent the practice at local dental society events, community sponsorships, and referral-partner meetings
Collaboration
- Meet weekly with our marketing consultant to align on content priorities, campaign needs, and social calendar
- Provide monthly input on what's working with patients and referral partners to inform broader marketing strategy
What We're Looking For
- 1–3+ years in a patient-facing healthcare, hospitality, or customer service coordinator role (dental/orthodontic experience is a plus, not required)
- Comfortable shooting photo/video content on a smartphone and using basic editing/social tools (training provided on our specific workflow)
- Naturally personable — genuinely enjoys talking to patients, parents, and referring office staff
- Highly organized and self-directed; comfortable owning a role with daily variety and no two days exactly alike
- Reliable transportation for local referral-office visits between our two locations and the surrounding area
- Full-time availability, Monday–Thursday, on-site
- Evening and weekend availability as dictated by community and social marketing events
Compensation & Benefits
- $45,000–$58,000/year base, commensurate with experience
- Health Care Stipend Per Month, PTO, 401(k), uniform allowance
Pay: $23.00 - $29.00 per hour
Benefits:
- 401(k)
- 401(k) matching
- Life insurance
- Paid time off
Work Location: In person
