Catania Medallic Specialty in Avon Lake, OH, is hiring an Office Manager and Bookkeeper. The candidate must provide excellent, comprehensive administrative and operational support to company President and Vice President.
The highly motivated, creative-thinking and independent candidate will be, among other things, responsible for general executive administrative tasks and support, as well as operational and project management activities.
Key Responsibilities:
- Provide high-level, confidential administrative and project management support.
- Manage bookkeeping and administrative financial tasks, including invoicing and bill payment when needed, and managing receivables.
- Provide general administrative support and perform additional duties as assigned.
- Work closely with offshore vendors for quotations on custom products
- Assist in order processing and procurement from offshore vendors.
Financial & Vendor Support (Supporting Focus – 40%)
- Maintain accurate bookkeeping records and documentation
- Coordinate with accounting partners as needed
- Support basic accounts payable and receivable activities
- Support vendor relationships and service coordination
- Assist with invoice processing when needed
Administrative & Office Operations (Primary Focus – 40%)
- Provide day-to-day administrative support for custom quotes
- Process orders and assist in order entry
- Maintain organized records, files, and documentation
- Assist with purchasing and invoicing from offshore vendors
- Respond to general operational and administrative requests
Systems & Technology Support (Secondary Focus – 20%)
- Serve as a first point of contact for basic internal technology support
- Assist employees with Odoo ERP
- Coordinate with external IT vendors when advanced support is required
- Assist with simple system updates and workflow improvements
- Serve as a dependable internal resource for administrative, technology, and systems
Minimum Qualifications:
- Bachelor’s degree preferred; equivalent experience considered.
- 3 to 5+ years of experience in bookkeeping, office management, administration or direct support to senior leadership.
- Demonstrated ability to maintain strict confidentiality, discretion, and independent judgment.
- Strong organizational, planning, communication, and interpersonal skills.
- Self-motivated, detail-oriented, customer-focused, and capable of anticipating and resolving issues.
- Basic accounting knowledge preferred; willingness to assume additional responsibility.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); comfort learning new technologies.
- Ability to remain calm under pressure and adapt quickly in a fast-paced environment.
- Strong systems and process orientation with demonstrated analytical thinking and problem-solving skills.
