Position Summary
The Academic Success Advisor serves as a key support role within PTC Butte and is responsible for guiding prospective students through the enrollment process, supporting current student success, assisting with tuition collections, and providing administrative support to office operations. This position requires strong communication skills, organization, professionalism, and the ability to manage multiple priorities in a fast-paced educational environment.
The Academic Success Advisor acts as a primary point of contact for prospective and current students while ensuring accurate documentation, timely follow-up, and excellent customer service.
Essential Duties and Responsibilities
Student Enrollment & Admissions
Respond to student inquiries through phone, email, text, and walk-ins.
Conduct enrollment interviews and provide program information to prospective students.
Guide students through the admissions and onboarding process.
Assist students with completion of enrollment documents and required paperwork.
Maintain accurate student records within the student management system.
Schedule orientations, entrance testing, interviews, and class start dates.
Follow up consistently with prospective students to improve enrollment conversion.
Ensure compliance with school policies and regulatory requirements related to admissions documentation.
Student Support & Retention
Serve as a support resource for current students throughout their educational journey.
Monitor student attendance, engagement, and academic concerns.
Provide timely communication and referral to instructors or leadership when concerns arise.
Assist with student scheduling, documentation requests, and general support needs.
Help maintain a positive and professional student experience.
Tuition Collections & Financial Follow-Up
Monitor student payment plans and tuition balances.
Conduct professional collection follow-up regarding outstanding balances.
Document collection efforts and payment arrangements accurately.
Coordinate with leadership regarding delinquent accounts or financial concerns.
Maintain confidentiality regarding student financial information.
Administrative & Office Support
Provide daily support to office operations and administrative staff.
Answer phones, greet visitors, and assist with front office responsibilities.
Maintain organized student files and office records.
Assist with scheduling, reporting, scanning, filing, and data entry.
Support campus events, orientations, and community outreach activities as needed.
Ensure office professionalism and customer service standards are maintained.
Qualifications
High school diploma or equivalent required.
Associate degree or administrative/education experience preferred.
Minimum of 1–2 years of experience in admissions, customer service, collections, education, healthcare, or office administration preferred.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office, Teams, Excel, and Teams and student database systems.
Ability to maintain confidentiality and professionalism.
Ability to work independently and collaboratively within a team environment.
Preferred Skills
Experience in vocational or post-secondary education.
Experience with student enrollment systems.
Knowledge of payment plans and collections procedures.
Strong problem-solving and conflict-resolution abilities.
Ability to build rapport with prospective and current students.
Physical Requirements
Prolonged periods of sitting and computer work.
Ability to occasionally lift office supplies or materials up to 25 pounds.
Ability to communicate effectively in person and by phone.
