Job Summary
We are seeking a dedicated and detail-oriented Workers' Compensation and Personal Injury Coordinator to join our legal support team. The ideal candidate will possess comprehensive knowledge of workers' compensation law, personal injury law, and related legal procedures. This role requires exceptional organizational skills, legal research expertise, and the ability to manage complex case files efficiently. As a vital member of our team, you will coordinate case management activities, support litigation processes, and ensure accurate documentation to facilitate effective client representation.
Responsibilities
- Reviewing the schedule for the following day. This may be future court dates, possible settlement dates, IME dates, etc
- Make sure all information for WMC (Accepted Workers' Comp), PI (Personal Injury), LWC (Litigated, Non-Accepted WMC) & DOL (Department of Labor) patients are correct. (Correct insurance, body part, Appointment Reason, Patient Type, Referring Doctor & Marketing Referral.)
- If any insurance info is missing, make calls to determine:
- Case Status (Open/Accepted)
- Accepted Body Part
- Adjuster & NCM Contact Info
- Where to send authorization requests (may have a Utilization Review Dept)
- Billing Address
- Any attorney information if applicable.
- Document all conversations in the appropriate fields (creating Actions, adding billing alerts, attaching notes to Patient Hub for doctor review, etc.)
- Update all "Patient Alert Info".
- Update or Create fax cover sheets (FCS) for each patient.
- Print most up to date FCS.
- Save all updated forms to the G:Drive for future use.
- For any PI/LWC cases, call attorney's office for case status. Document who you spoke with and what was discussed, in the appropriate phone log.
Skills
- Extensive knowledge of workers' compensation law and personal injury law practices.
- This position is very detailed, and involved.
- It requires you to stay organized and make sure that you can retrace your steps at any time.
- It requires a significant amount of patient interaction, keeping them updated on the status of their authorizations, what to expect, explaining the system, explaining our procedures, etc.
- It requires significant relationship building, keeping on top of requests from referring doctors/facilities. We want to make things as easy as possible for them, so that they continue to refer patients to our office.
- It requires a lot of interaction with the doctors, and getting to know their styles and what they expect.
- Currently, our patient base is approximately 30% WMC/PI/LWC/DOL for Clinic, and approximately 35-40% of our Physical Therapy Department.
- It requires outstanding communication on all fronts, you are our quarterback for these patients, you coordinate and communicate between; the doctor, adjuster, nurse case managers, attorneys, referring doctors, physical therapists, and our team at the office.
- This position should not require constant monitoring and follow up from the supervisor, it is expected that the WMC Specialist will follow through with all tasks and requests the first time they come up.
- It is expected that the WMC Specialist should keep a task list, to make sure that everything is taken care of by set deadlines.
- It is expected that e-mails and voicemails be returned within 24 hours, during business hours.
- If the response needs more follow up, you are expected to respond to the e-mail or voicemail, to let them know when to expect an answer.
- If for any reason you will not be able to meet a deadline, you are expected to let your direct supervisor (or any other staff member that had set the deadline), why you cannot meet it, and when they should expect it.
- You are expected to be patient, courteous and professional at all times, remembering that you have a direct impact on the success of the practice.

Pay: $51,371.94 - $61,867.28 per year
