Job Summary
Help Keep Facilities Operations Running Efficiently
The University of Kentucky is seeking a Facilities Shared Services Support Associate to provide administrative, records management, and customer service support for Facilities Shared Services.
In this role, you’ll serve as a key resource for employees, clients, and visitors while helping ensure office operations, records, and communications are organized, accurate, and responsive. Your work will support the daily functions that keep shared services operating effectively and efficiently.
What You’ll Do
- Serve as the first point of contact for clients, visitors, and internal stakeholders
- Provide administrative support, including scheduling, correspondence, report preparation, and office coordination
- Manage and maintain physical and electronic filing systems in accordance with records retention requirements
- Collect, verify, and maintain data within departmental databases and records systems
- Respond to inquiries and direct requests to the appropriate resources
- Support process improvements that enhance efficiency and service delivery
- Assist with special projects and administrative initiatives as assigned

Proven experience as an administrative assistant, receptionist, or in a similar clerical role; Proficiency in office software including Microsoft Office Suite (Word, Excel, PowerPoint); Ability to use standard office equipment (printers, copiers, and multi-line phone systems); Excellent verbal and written communication skills, impeccable attention to detail, strong organizational abilities, and the ability to multitask effectively in a fast-paced environment.
