The Prospecting Coordinator will be responsible for managing the prospecting
process for self-funded employee benefit opportunities from initial intake through
proposal delivery. This role coordinates with carriers, brokers, and the internal Sales
Team to obtain competitive quotes, prepare accurate proposals, maintain prospecting
resources, and ensure all service timelines are met. The Prospecting Coordinator will
also ensure a smooth transition for a Sold Group from prospecting to Implementation
Coordinator.

Manage the self-funded prospecting process from intake through proposal completion while meeting established turnaround times.

Respond to Requests for Quote (RFQs) within 1 business day.

Submit RFPs to market within 1 business day of receiving a completed Prospect Worksheet.

Prepare proposals within 12 business days of receiving a completed Prospect Worksheet.

Build RFPs, identify missing information, coordinate with carriers, and follow up on outstanding quotes.

Accurately enter and analyze carrier quotes, identify competitive plan options, and prepare accurate, error-free proposals for Sales Team review.

Maintain prospecting logs, templates, contacts, fee schedules, and other prospecting resources to ensure current and accurate information.

Communicate promptly with agents, brokers, carriers, the Sales Team, and the Implementation Team regarding prospect status, quote activity, sold cases, and required follow-up.

Identify opportunities for competitive positioning and ancillary product recommendations.

Prepare implementation documents and communicate prospecting details to the Implementation Team following the sale of a case.

Maintain knowledge of self-funded products, carrier requirements, PPO networks, and industry trends.

Prioritize multiple cases while ensuring accuracy, quality, and adherence to service standards.
