JOB Employees in the Accounting Assistant job maintain a complete and accurate record of financial transactions by preparing financial reports to ensure proper accounting and reporting of all transactions. These employees perform routine calculations, post and transfer fiscal data, check the accuracy of computations, reconcile invoices with purchase orders, and review and approve receipts for disbursement of funds. Employees exercise considerable judgment in deciding which guidelines or accounting procedures to follow in accomplishing tasks. Work is completed in an office setting and is reviewed by a higher-level accounting or revenue employee for compliance with desired results. Accounting Assistants do not supervise others. EXAMPLE OF DUTIES General customer service, either by telephone, fax, email, and in-person
Provides clerical support to a department by processing mail, creating and updating paper and digital files, maintaining office equipment, attending and taking notes at meetings, transcribing minutes, tracking information, making copies, and/or gathering documentation.
Generates and processes invoices and/or payments.
Manages departmental accounts receivable and payable
Processes forms, petitions, applications and related payments for city residents/customers at the front counter, as well as by telephone or email (i.e. - business licenses, annual automobile tags, boat registrations & renewals, subdivision applications, rezoning applications, annexation petitions)
Verify then print new vehicle registrations online, which includes reviewing scanned documents for accuracy of content, verifying sales tax payments, & submitting information back to the State Department of Revenue & vehicle owners for payment due
Reconciles receipts to payments received on a daily basis
Processes assessment letters and other public records inquiries, by request. Tasks include reviewing property tax records for verification as well as generating an assessments letter invoice, payable by the requesting agency, business or law firm
Handles public mailings and other assignments, as requested by supervisor. SUPPLEMENTAL INFORMATION Work Environment:
Work is conducted almost exclusively indoors in an office setting. Work involves use of standard office equipment, such as computer, phone, copier, etc.
Physical Demands:
Job is primarily sedentary involving sitting for long periods of time but may involve occasional walking or standing for brief periods.
