Overview
We are seeking a detail-oriented and proactive HR Assistant to support our Human Resources manager while also assisting with basic technical and facilities-related tasks. This role is ideal for someone who enjoys a mix of administrative, people-focused, and hands-on work in a dynamic office environment. The HR Assistant will play a key role in maintaining employee records, supporting onboarding and offboarding processes, and ensuring smooth day-to-day office operations.
Responsibilities
Human Resources Support
- Office Support: Coordinate and place supply orders for offices using systems such as Coupa, FedEx, and other vendors as needed.
- Record Keeping: Maintain accurate and up-to-date employee records in Rippling, including personal information and employment changes.
- Onboarding & Offboarding: Assist with onboarding new hires (e.g., ordering business cards, scheduling headshots, shipping required paperwork to governing boards) and support offboarding processes.
- Documentation Management: Prepare and submit required documentation to DFPI and EAFC.
- Employee Support: Respond to employee inquiries regarding HR policies, benefits, and general questions, directing them to appropriate resources when necessary.
- Reporting: Support the preparation of HR reports and presentations, including data analysis, key metrics, and compliance tracking.
- Inventory Management: Track and organize office inventory; coordinate replenishment requests as needed.
- Payroll & Benefits Administration: Assist payroll and benefits teams by providing necessary employee data and supporting benefit-related processes.
- Training & Development: Help administer and track employee training completion through Rippling Learning.
- HR Projects: Contribute to various HR initiatives, including research, data analysis, and project coordination.
- Event Coordination: Assist in planning and executing company events such as recognition lunches, holiday celebrations, and annual team meetings.
Tech & Facilities Support
- Office & Workstation Setup: Assist with setting up new offices and/or workstations, including assembling monitors and connecting computer equipment.
- Physical Support: Lift and move equipment and supplies (up to 50 lbs) as needed.
- Facilities Coordination: Coordinate with building management for facilities-related needs and requests.
- Supply Distribution: Deliver supplies to various office locations and ensure proper distribution.
- Equipment Management: Swap out, maintain, and track office equipment as needed.
- Inventory & Ordering: Manage inventory and ordering of technical and facilities supplies.
Travel Requirements
- Travel is required for this role, primarily between offices to support business operations.
- Initial work location will be based in Carlsbad, with a possible future transition to an office in South Orange County (likely the San Juan Capistrano area).
- Travel distances may be up to 120 miles one way.
- Mileage reimbursement will be provided in accordance with company policy.
Skills
- Strong interpersonal skills, with the ability to effectively communicate with employees at all levels

- Proficiency with HR systems (experience with Rippling a plus) and general office software
- Technical aptitude (comfortable setting up computers and equipment)

- Customer-service orientation with a responsive and helpful approach
Qualifications
- 1-2 years of Human Resource experience, administrative support, or a related field
- Experience with HRIS platforms (Rippling or similar) preferred
- Familiarity with payroll and benefits processes is a plus
- Ability to perform physical tasks, including lifting up to 50 pounds
- Comfortable working in both office and hands-on technical environments
- High school diploma required; relevant experience or a degree in Human Resources, Business, or a related field preferred
