We are seeking a friendly, professional, and detail-oriented Front Desk Representative to join our busy multidisciplinary medical practice. The Front Desk Representative serves as the first point of contact for patients and visitors, providing exceptional customer service while ensuring efficient front-office operations. Essential Duties and Responsibilities Patient Reception & Customer Service
- Greet patients, visitors, and vendors in a courteous and professional manner.
- Create a welcoming and positive patient experience.
- Answer incoming telephone calls and direct inquiries appropriately.
- Assist patients with questions regarding appointments, forms, insurance, and office policies.
- Address patient concerns professionally and escalate issues when necessary.
Patient Registration & Scheduling
- Register new patients and update existing patient demographic information.
- Verify patient insurance coverage and obtain required referrals and authorizations.
- Schedule, reschedule, and cancel appointments across multiple specialties.
- Confirm upcoming appointments and communicate scheduling changes to patients.
- Collect and enter accurate patient information into the Electronic Medical Record (EMR) system.
Administrative Duties
- Check patients in and out efficiently and accurately.
- Collect co-pays, deductibles, outstanding balances, and issue receipts.
- Maintain patient records and scan documentation into the EMR system.
- Process incoming and outgoing correspondence, faxes, and medical records requests.
- Maintain organized filing systems and ensure documentation accuracy.
- Assist with daily administrative and clerical functions as assigned.
Team Collaboration
- Communicate effectively with physicians, nurse practitioners, nurses, medical assistants, and administrative staff.
- Coordinate patient flow to ensure timely appointments and efficient office operations.
- Support practice initiatives to improve patient satisfaction and office efficiency.
- Participate in staff meetings and training programs.
Compliance & Confidentiality
- Maintain patient confidentiality in accordance with HIPAA regulations.
- Follow all practice policies, procedures, and compliance standards.
- Ensure accurate handling of patient information and financial transactions.
QualificationsRequired Qualifications
- High School Diploma or GED required.
- Minimum of 1 year of customer service, receptionist, administrative, or healthcare office experience.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency with computers and Microsoft Office applications.
- Professional demeanor and customer-focused attitude.
- Ability to work effectively in a high-volume, fast-paced environment.
Preferred Qualifications
- Previous experience in a medical office, physician practice, or healthcare setting.
- Familiarity with Electronic Medical Record (EMR/EHR) systems.
- Knowledge of medical terminology.
- Experience with insurance verification and patient registration.
- Bilingual (English/Spanish) preferred.
