Position Overview
The CSR / Install Coordinator is responsible for managing inbound customer communication, scheduling and coordinating retrofit and new construction installations, supporting install managers, pulling permits, tracking rebates, and helping ensure projects move smoothly from sale to completion.
This role works directly with:
- General Manager
- Retrofit Install Manager
- New Construction Install Manager
- Sales Team
- Customers and Vendors

ResponsibilitiesCustomer Service Duties
- Answer inbound customer calls professionally and efficiently
- Schedule appointments and communicate with customers regarding install timelines
- Handle customer questions, updates, and concerns
- Maintain a high level of customer satisfaction and professionalism
- Coordinate communication between customers and internal departments
Install Coordination Duties
- Schedule retrofit HVAC installations
- Schedule new construction HVAC installations
- Coordinate directly with install managers and field crews
- Manage scheduling calendars and job flow
- Ensure jobs are prepared and ready prior to install dates
- Assist with equipment tracking and project readiness
Administrative Duties
- Pull permits with local jurisdictions
- Track and process utility rebates
- Maintain accurate customer and job records
- Update spreadsheets and internal systems
- Assist management with operational tasks and reporting
QualificationsRequired:
- Previous customer service experience
- Strong communication and organizational skills
- Ability to multitask in a fast-paced environment
- Experience using:
- Microsoft Excel
- Google Sheets
- Microsoft Word
- Computer-based scheduling and office software
- Professional phone etiquette
- Strong attention to detail
- Reliable transportation and punctuality
Preferred:
- HVAC, construction, or home service industry experience
- Experience coordinating schedules or projects
- Familiarity with permits and rebate processing
- ServiceTitan experience (preferred but not required)
