Assists with the effective clerical, data entry, and records management needs of the department.Carries out general clerical duties as required in relation to the functions of the department and assists in routine operational processes. May provide support regarding schedules of interviews, communication with candidates, scheduling of required trainings, data entry and orientation sessions as needed.
Responsible for effective filing, data entry, mailings and upkeep of all files and logs. Must be able to manage high volume of filings and data entry in excel and other formats. Completes these tasks on a weekly basis or more regularly as/when needed.
Effectively and timely answers all calls, emails, texts and requests and routes inquires to appropriate staff.Requires a high level of discretion, self-motivation, confidentiality, professionalism, positive demeanor, and team approach. Excellent follow up, follow through and CUSTOMER SERVICE SKILLS.
Pay Rate: $20.00 - $21.00/hour
Schedule: Monday – Friday 9:00am - 4:30 pm (35 hrs/week)
Location: 2116 E. Villa St. Pasadena, CA; On-Site.
Qualifications and Requirements:
- Ideal and preferred candidate will possess an associates degree in a closely related area (business/human resources/public administration/industrial relations/etc.).
- Minimum of two to three (2 - 3) years working in a clerical capacity, preferably in a human resources department supporting a workforce of at least 200+ employees.
- Ability to maintain strict confidentiality and to manage highly sensitive and confidential information. Unauthorized disclosure, sharing, or misuse of this information is strictly prohibited and may result in immediate disciplinary action, up to and including termination of employment.
- Experience managing high volume data entry and filing systems in an environment that is not automated/fully automated (no electronic files).
- Comfortable working in a fast-paced environment with constantly shifting priorities.
- High attention to detail REQUIRED.
- Excellent customer service and follow through.
- Comfortable working collaboratively with a range of personalities and project demands.
- Ability to constantly shift gears based on project demands.
- Ability to work overtime including weekends as needed.
- Satisfactorily pass a background fingerprinting clearance from DOJ/FBI Community Care Licensing/Dept. of Social Services.
- Satisfactorily complete a physical & TB screening
