Customer Service & DOT Bid Coordinator
Overview
We’re looking for an energetic, detail-oriented Customer Service & DOT Bid Coordinator to serve as the frontline ambassador for our brand. In this role, you’ll deliver exceptional customer service to our clients while supporting our growing government and DOT contracting pipeline — helping track bid opportunities, prepare submissions, and manage the paperwork that keeps our subcontracts moving. This is a hybrid position based out of Waynesville, NC.
What You’ll Do
Customer Service
- Provide prompt, friendly, and professional customer service via phone, text, email, website chat, and in-person interactions
- Help with scheduling jobs and follow up on estimates
- Record job completions and update client records
- Handle basic invoicing and payment follow-up
- Respond to online reviews and inquiries
- Monitor website chat and respond promptly to incoming messages
- Build strong relationships with clients, vendors, general contractors, and community partners
DOT & Government Contract Bidding
- Monitor bid opportunities on platforms such as BuildingConnected, ConstructConnect, and NCDOT lettings
- Track bid deadlines, submission requirements, and bonding needs in the bid tracker
- Assist in preparing and submitting bid packages to general contractors and DOT agencies
- Coordinate required documentation: insurance certificates, additional insured endorsements, certified payroll/Davis-Bacon paperwork, and lien waivers
- Support pay application submissions and track pay app deadlines
- Maintain organized records of active contracts, subcontracts, and bonding requirements
- Follow up with GC contacts and project managers on bid status and awarded jobs
- Help maintain relationships with bonding brokers and insurance providers
Marketing Support (as time allows)
- Help capture before-and-after job site photos for our portfolio and marketing use
- Assist with maintaining our social media presence and posting schedule
- Support basic promotional content using Canva
What We’re Looking For
- Strong communication skills — friendly, professional, and responsive
- Detail-oriented and comfortable with paperwork-heavy processes (bids, insurance certs, compliance documentation)
- Organized and able to manage multiple deadlines without dropping the ball
- Willing to learn bid platforms (BuildingConnected, ConstructConnect) and compliance requirements (Davis-Bacon, certified payroll)
- Experience with scheduling or CRM tools a plus (we use Jobber)
- Knowledge of landscaping, hydroseeding, construction, or government contracting a plus
- Basic familiarity with Canva or similar design tools a plus, but not a primary focus of this role
Details
- Pay: $20/hour
- Schedule: Full-time, Monday–Friday
- Location: Hybrid — majority work from home; in-person required as needed
Pay: $19.00 - $20.00 per hour
