Zumbro Valley Health Center is seeking a dedicated and detail-oriented Administrative Supervisor to join our team. This role is responsible for overseeing the Support Services department, including front desk Clinical Records, centralized scheduling, payer eligibility, and other administrative functions. The ideal candidate will have strong leadership skills, healthcare administrative experience, and a commitment to accuracy, efficiency, and excellent client service.
Hire, train, supervise, and support employees within the Support Services department.
Establish and manage staff schedules to ensure appropriate coverage and efficient daily operations.
Oversee Clinical Records processes, ensuring accurate, timely, and organized release of records.
Oversee centralized scheduling to ensure appointments are scheduled accurately and efficiently while providing excellent service to clients and clinical staff.
Monitor payer eligibility and insurance verification processes to ensure coverage information is accurate and up to date.
Develop and maintain quality control processes to ensure accuracy in scheduling, clinical records, eligibility, billing, and other administrative functions.
Identify opportunities to improve workflows, efficiency, and quality across the department.
Develop and maintain training materials and systems for onboarding and training new employees.
Monitor and evaluate employee performance, providing ongoing coaching, feedback, and formal performance reviews.
Recognize employee achievements and address performance concerns proactively and consistently.
Maintain proficiency in essential Support Services functions to effectively lead, train, and support the team.
Serve as a backup for departmental staff as needed, ensuring continuity of daily operations during absences or periods of increased demand.
Collaborate with clinical and administrative departments to resolve issues, improve communication, and support quality client services.
