Job Summary
We are seeking a dynamic and detail-oriented Orthodontic Scheduling Coordinator to join our dedicated dental team. In this vital role, you will serve as the first point of contact for patients, ensuring smooth scheduling, efficient appointment management, and accurate documentation. Our hours are 8-5 four days per week with an option for a fifth partial day. We offer a healthcare stipend and a simple IRA plan with employer matching. Duties
- Manage all aspects of orthodontic appointment scheduling using our EMR (Electronic Medical Record).
- Verify insurance coverage and perform insurance eligibility checks to streamline patient intake processes.
- Coordinate with clinical staff to schedule patient visits for consultations, adjustments, and follow-up appointments while accommodating urgent cases promptly.
- Assist patients with appointment rescheduling, cancellations, and reminders via multi-line phone systems while maintaining professional phone etiquette.
- Review and update patient records meticulously, ensuring compliance with HIPAA regulations and accurate documentation of treatment plans and care instructions.
- Perform administrative duties including filing medical records, verifying insurance benefits, and managing front desk operations to enhance office efficiency.
- Maintain a welcoming environment by providing exceptional patient service, answering inquiries courteously, and guiding patients through their treatment journey.
- Utilize computer skills such as Microsoft Office for documentation review, report generation, and data entry to support clinic management.
Experience
- Previous experience in a dental or orthodontic clinic setting is highly preferred, with familiarity in dental terminology and medical administrative support.
- Proven proficiency in EMR systems such as Eaglesoft, Dentrix, or similar platforms; experience with Epic or Meditech is a plus.
- Demonstrated ability to handle multi-line phone systems efficiently while maintaining excellent customer service standards.
- Prior office management or clerical experience in healthcare environments will be considered an asset.
- Excellent organizational skills with attention to detail in documentation review and medical records management.
- Ability to work collaboratively within a team while managing multiple priorities in a fast-paced environment.
