Boyum Barenscheer continues to grow and we're looking for an Administrative Assistant for our Bloomington office.
Administrative Assistant Summary:
The Administrative Assistant plays an integral role in the tax return process by sorting/preparing client documents, maintaining accurate records, monitoring project deadlines, preparing engagement letters, and supporting electronic tax filings. This professional will also help keep the office running smoothly by managing mail, ordering office supplies, providing backup receptionist coverage, and various projects as assigned.
Administrative Assistant Responsibilities:
- Processes incoming tax documents for clients by sorting and preparing files for scanning.
- Uses tax preparation software to conduct front-end verification of tax files.
- Assists with scanning and filing of tax documents to maintain organized records.
- Sends tax returns and 1099 forms through e-file systems and follows up on acknowledgments.
- Assists with the preparation and distribution of engagement letters and tax organizers.
- Monitors due dates for client tax returns and projects.
- Backs up new client setup and project setup as required.
- May support assembly of tax returns for paper or electronic distribution to clients.
- Receives, posts, and distributes mail and faxes.
- Orders and manages inventory of office supplies.
- Provides relief and support for primary reception staff.
- Supports partners with various administrative tasks as requested.
Administrative Assistant Qualifications
- Associate's degree (A.A.) or equivalent from a two-year college or technical school and a minimum of two (2) years of related administrative experience, or an equivalent combination of education and experience.
- Proficiency with Microsoft Office programs, especially Word and Outlook. Experience and knowledge of accounting software programs such as Karbon, UltraTax, Engagement Manager, and GoFileRoom a big plus.
- Strong organizational skills with the ability to prioritize work assignments.
- Excellent written, proofreading, problem solving, and oral communication skills.
- Applicants must be currently authorized to work in the United States on a full-time basis.
