The Virginia Beach Campus is currently accepting applications for a part-time Academic Administrative Assistant.
Job Summary:
The Administrative Assistant to the Academic Department provides administrative support to the Dean of Instruction and the surrounding Academic community. This position serves as an integral member of the Academic team. This position is responsible for providing customer service to co-workers, faculty and campus students.
Essential Position Responsibilities/Functions:
- Researches and analyzes statistical data.
- Performs data entry.
- Assists with all campus functions and events such as in-services, orientations, graduation, etc.
- Compiles faculty credentials and forms (SCHEV, job descriptions, teaching philosophies, etc.) and forwards to HR.
- Monitors the Faculty Report email for final gradebooks, incompletes, grade changes, and job responsibilities.
- Serves as a committee member on various committees.
- Develops reports and presentations as requested by DOI.
- Executes campus mailings to students and faculty.
- Organizes and maintains binder materials; files and maintains instructor files.
- Organizes various departmental meetings.
- Takes meeting notes and distributes them.
- Faxes, files and performs basic office duties.
- Completes education verifications.
- Runs and distributes mid-term and final grading memos and materials.
- Runs grade roster before any grade changes are submitted.
- Manages the circulation and timeliness of grade appeals, incompletes, student success agreements, etc.
- Collects official transcripts and forwards to HR.
- Verifies faculty meeting attendance (nine per year).
- Keeps updated management listing spreadsheet, emergency contact list, etc.
- Runs seat analysis daily.
- Responsible for faculty pay agreements and master pay spreadsheet.
- Compiles student survey data from JIT/RX database and sends out to faculty.
- Compiles validation of booklist, verification of books in online bookstore, orders faculty copies as needed.
- Sends out certificates after completion of workshops for faculty onboarding and development.
- Provides back-up assistance to the front desk when needed.
- Ensures Academics is class ready day 1 (mailboxes, supplies etc.)
- Ensures faculty lounge is organized and has needed supplies.
- Supports the Dean and faculty for efficiencies daily as needed or sees the need.
- Orders department supplies.
- Performs other duties and special projects as assigned.
Qualifications & Position Requirements:
- Associate degree (bachelor’s degree preferred)
- 2-4 years of previous office support and customer service experience, Banner experience a plus
- Proficiency in Microsoft Office Suite
- Able to work in a fast-paced environment
- Strong analytical skills with ability to interpret statistical data
- Excellent communication skills (written and oral) with a diverse group of students and peers
- Attention to detail
- Time management skills
- Available to work a schedule that includes evening hours as needed. Peak registration periods will require additional availability.
Hourly:
$18.00-$20.00 (hourly range)
