Our client is looking for an energetic, friendly and eager Office Manager to assist with the day-to-day operations of their busy New York City office. This is a direct hire opportunity and requires a candidate with professionalism, poise, strong attention to detail, being the point person in the office, someone who is hungry to learn with a can-do attitude and the ability to work in a fast-paced environment.
Compensation: $90K-$110K

Applicants must be able to work 5 days onsite for the first 3 months, then position will transition into hybrid-3 days in office, 2 days work from home, in New York City to be eligible for this position.

Responsibilities-
Guarantee the smooth function of daily office operations, maintaining a professional and inviting environment for staff and visitors alike.

Facilitate communication of office updates and coordinate improvements to optimize the workplace experience.

Oversee office supply management, ensuring essential items are always available through effective supervision of administrative staff.

Lead planning and execution of office-wide programs, meetings, and company initiatives to promote well-being and engagement.

Prepare new hire workspaces and manage office access, ensuring all facilities are operationally ready.

Maintain and optimize space utilization, including supporting office moves, refurbishments, and future space planning.

Orchestrate onsite logistics for meetings, catering, and vendor services, ensuring all arrangements align with organizational standards.

Collaborate with internal teams such as IT, HR, Finance, and Facilities to implement office-related projects.

Cultivate relationships with external vendors, negotiating contracts and ensuring quality, compliance, and cost-efficiency.

Manage the office budget efficiently, working closely with Finance on planning and expenditures.

Uphold health and safety policies, including emergency procedures, incident reporting, and security protocols.

Act as the primary point of contact for building management concerning security, access, and facilities issues.

Align office standards with global practices by working collaboratively with other Office Managers across locations.
Requirements-
Proven experience of 5-7 years in office management or equivalent role, with a track record of supervising teams.

Demonstrated ability to lead, coach, and motivate administrative personnel and to manage performance reviews.

Exceptional written and verbal communication skills.

Adept at multitasking, prioritizing amidst changing demands, and adapting to new technology tools.

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), with familiarity in SharePoint, SAP Concur, Salesforce, and MS Teams.

Strong organizational skills with high attention to detail.

Physical ability to lift up to 50 pounds.
