Job Summary
The EDI Assistant is a critical member of the organization and serves as the primary backup to the EDI Manager. This position requires exceptional attention to detail, strong technical aptitude, and excellent verbal and written communication skills. The successful candidate will be responsible for the daily processing, monitoring, troubleshooting, mapping, and maintenance of Electronic Data Interchange (EDI) transactions and related business processes.
The EDI Assistant will work closely with internal departments including Customer Service, Logistics, Vendor Compliance, Purchasing, and Information Technology, while maintaining effective communication with external trading partners, retailers, vendors, Value Added Networks (VANs), and third-party service providers.
A strong background in EDI mapping and support is required. Candidates must have hands-on experience with IBM Sterling Gentran Server for Windows and be capable of creating and maintaining EDI maps.

Essential Qualifications
Required Experience & Skills
- Minimum 3-5 years of EDI experience in a retail, distribution, manufacturing, apparel, or related environment.
- Hands-on experience with IBM Sterling Gentran Server for Windows (Version 5.3.1 preferred).
- Demonstrated ability to create, modify, test, and troubleshoot EDI maps.
- Strong knowledge of ANSI X12 EDI standards and transaction sets.
- Experience working with VANs, FTP/SFTP communications, and direct trading partner integrations.
- Advanced Microsoft Excel skills.
- Proficiency with Microsoft Word and Access.
- Strong analytical and troubleshooting skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple priorities while meeting deadlines.
- Strong organizational skills and attention to detail.
Preferred Qualifications
- SQL knowledge and database querying experience.
- Experience with CGS BlueCherry ERP.
- Experience with CLEO integration software.
- Experience with Seagull Scientific BarTender.
- Experience within apparel, footwear, retail, wholesale, or distribution industries.
- Understanding of warehouse management and allocation processes.

Key Responsibilities
1. EDI Operations & Support
- Serve as primary backup to the EDI Manager.
- Process inbound and outbound EDI documents accurately and timely.
- Monitor daily EDI activity and resolve transaction errors.
- Troubleshoot data transmission issues with trading partners and internal users.
- Ensure all EDI transactions are processed according to company and partner requirements.
2. Trading Partner Management
- Maintain relationships with Value Added Networks (VANs), including SPS Commerce and Liaison.
- Support communication partner CLEO and direct FTP/SFTP integrations.
- Coordinate with retailers, vendors, and e-commerce partners regarding EDI requirements.
- Assist with onboarding new trading partners and account setups.
3. EDI Mapping & Development
Develop, maintain, troubleshoot, and enhance inbound and outbound ANSI X12 EDI maps including:

4. Flat File Development
- Lead development and maintenance of flat-file integrations for non-VAN trading partners.
- Work closely with the Director of IT regarding flat-file requirements and enhancements.
- Create, test, document, and support file layouts and processes.
5. Label Design & Compliance
- Design, maintain, and troubleshoot labels using:
- BlueCherry Label Builder
- BarTender 2016
- Support creation and maintenance of:
- UCC Labels
- UPC Labels
- Item Labels
- Carton Labels
- Ensure compliance with customer labeling requirements.
6. ERP & Process Support
- Assist EDI Manager in their role as Liaison with CGS regarding:
- BlueCherry functionality in regard to EDI-related process improvements
- System enhancements and support requests
- Assist with the maintaining of the BlueCherry Task Scheduler.
- Support the allocation processes and execute special allocation runs as needed.
7. Cross-Functional Collaboration
- Work closely with:
- Customer Service
- Logistics
- Vendor Compliance
- Purchasing
- Information Technology
- Assist in onboarding new customer accounts.
- Support EDI and label compliance initiatives.
- Ensure timely communication regarding issues and resolutions.
8. UPC & Catalog Maintenance
- Assist EDI Manager with the maintenance of the UPC catalog accuracy across:
- GXS
- Sterling
- Intertrade
- Verify product and catalog data consistency.
9. Reporting & Auditing
- Download and analyze EDI traffic reports from VAN providers.
- Reconcile reports against:
- Gentran transaction logs
- BlueCherry reports
- Ensure all EDI transactions are accounted for and processed successfully.
- Investigate and resolve discrepancies.
10. Special Projects
- Participate in process improvement initiatives.
- Assist with system implementations and upgrades.
- Perform additional duties and special projects as assigned.
