As our firm continues to grow, we're seeking an exceptional Executive Assistant to serve as the CEO's trusted operational partner. This is far more than a traditional Executive Assistant position.
You'll function as the CEO's right hand—creating structure, driving execution, coordinating internal operations, and ensuring nothing falls through the cracks. What You'll Do
- Serve as the CEO's trusted operational partner, managing priorities, communications, and daily execution
- Own an ever-changing executive calendar, scheduling meetings, travel, and strategic priorities
- Manage a high-volume inbox while ensuring timely responses, organization, and follow-through
- Convert verbal conversations, voice memos, and text messages into actionable tasks and completed deliverables
- Anticipate the CEO's needs by proactively identifying priorities, conflicts, and opportunities before they arise
- Coordinate projects across internal team members, vendors, and external partners
- Manage relationships with marketing agencies, virtual assistants, consultants, and key service providers
- Track active initiatives, deadlines, and deliverables while ensuring accountability across the organization
- Prepare meeting agendas, reports, presentations, and executive correspondence
- Maintain strict confidentiality regarding transactions, clients, financial information, and company initiatives
- Build systems and processes that improve organizational efficiency as the company continues to scale

Required Qualifications
- Experience directly supporting a CEO, Founder, or C-level executive
- Proven ability to manage complex calendars, executive communications, and shifting priorities
- Outstanding organizational and project management skills
- Excellent written and verbal communication abilities
- Strong discretion and professionalism when handling confidential information
- High emotional intelligence with a calm, solution-oriented approach
- Local to Southern California with reliable transportation
- Flexibility to work outside traditional business hours when business demands require
Preferred Experience
Candidates coming from founder-led businesses, commercial real estate, private equity, investment firms, family offices, wealth management, M&A advisory, or other fast-paced professional services environments are strongly encouraged to apply.
Success in This Role
Within your first 90 days, you will:
- Independently manage the CEO's calendar and inbox with minimal oversight
- Build trusted relationships across the team and external partners
- Create systems that improve organization and operational efficiency
- Deliver regular project updates and ensure priorities remain on track
- Become the central point of coordination for executive operations
