FalconTek is a government contracting and staffing firm supporting more than 1,000 employee across 33 active contracts — spanning VA medical facilities, federal agencies, call centers, and regional staffing accounts. Our Operations team is the engine that keeps those employees paid on time, properly onboarded, and supported at every step. We’re growing, and we need the right people to grow with us.
ABOUT THE ROLE:
This is a high-accountability, detail-driven position at the center of our payroll and scheduling operations. You will own the full timekeeping cycle for a diverse population of employees each working under a different contract, with its own rules, deadlines, and approval chain. Your ability to track, follow up, and stay organized across all of them is what keeps payroll running and employees paid correctly.
This is not a job where you wait to be told what to do. You will be expected to know your deadlines, manage your own workflow, and proactively chase down what you need while also knowing when to ask before making a call that affects someone’s paycheck.

Location: Fully Remote

Workdays / Hours: Monday - Friday 9am-5pm EST

Responsibilities:
Timekeeping
- Send weekly time entry reminders and follow up on missing or incomplete time across all active contracts
- Verify that timesheets requiring supervisor signatures match ADP entries and are properly collected before payroll
- Approve time in ADP and assign holiday hours when required
- Communicate with onsite supervisors to get approvals for time reports, corrections, and adjustments
- Work with Accounting on missing time reports, approval reports, and final pre-payroll sign-off
- Communicate directly with employees on rejected time entries and corrections needed
Time Off Processing
- Ensure employees follow the correct time-off request procedures for their specific project procedures vary significantly across contracts
- Check time-off calendar availability and submit requests to clients for approval or denial
- Coordinate with onsite supervisors and leads on other projects to confirm time-off approvals
- Approve or deny requests in ADP and communicate outcomes to employees in writing
- Maintain time-off tracking logs and project calendars
Attendance Tracking
- Receive and respond to attendance point updates or inquiries from onsite supervisors
- Apply attendance points to the tracker when timecards or communications indicate unapproved absences
- Notify project management when an employee reaches a warning or disciplinary action threshold
WHAT YOU BRING:
- You catch errors before they become problems.
- You double-check, cross-reference, and verify without being told to
- You follow up. If you sent an email three days ago and haven't heard back, you don't assume it’s handled, you check
- You ask questions when something is unclear rather than guessing on anything that affects someone’s pay or time off
- You are comfortable working independently day-to-day but know when to escalate
- You stay calm when the inbox is full, payroll is due, and three people still have not submitted their time
QUALIFICATIONS:
Required
- 2+ years of experience in HR operations, payroll coordination, workforce administration, or a similar role. (Government contracting experience preferred, but not required)
- Strong proficiency in Microsoft Excel or Google Sheets for tracking and reporting
- Experience working in an HRIS or timekeeping system (ADP Workforce Now experience strongly preferred)
- Ability to manage multiple priorities simultaneously without dropping details
- Clear, professional written communication as you will be in contact with employees, supervisors, and internal teams daily
Preferred
- Experience supporting government contractors, staffing firms, or multi-site operations
- Familiarity with semi-monthly and weekly payroll cycles
- Exposure to contract-specific or project-specific workforce policies
