Summary
Provide comprehensive, essential support to the Senior Executive to enable effective organizational leadership. Responsible for the day-to-day operations of the office, sophisticated management of the calendar, and high-level administrative support, effective execution of special projects, and seamless planning and coordination of Board activities.
Qualifications:
Education:
College degree or equivalent work experience.
Experience:
Five years’ experience in a similar role, preferably with a nonprofit organization.
Previous experience with written communications at a professional level.
Previous experience working with Senior Level Management, nonprofit board of directors, and donors (Preferred).

Responsibilities:
- Manage the Senior Executive’s calendar, appointments, and travel arrangements, ensuring the limited time is used as efficiently and effectively as possible.
- Assist the Senior Executive in the development and execution of strategic or capital plans, monitor progress, and ensure deadlines are met.
- Serve as a trusted liaison between the Senior Executive and internal/external stakeholders (Board of Directors, executive team, staff, donors, external organizations, etc.) with the highest degree of professionalism and confidentiality.
- Schedule, prepare agendas for, and attend regular meetings where senior leaders keep each other informed about their work, discuss the coordination and integration of work across departments, and address critical issues affecting the organization.
- Conduct research, gather data, and prepare background materials for meetings, presentations, and projects.
- Manage incoming inquiries to the Senior Executive’s office, directing them to appropriate channels or responding independently as needed.
- Prepare and review presentations and reports for the Senior Executive.
- Draft, edit, and proofread correspondence and other communications on behalf of the Senior Executive.
- As directed by the Senior Executive, coordinate or assist in the planning, organizing, and execution of events, including board meetings, retreats, and fundraisers.
- Assist in the development of the annual budget for the Senior Executive’s office, as related to travel, conferences, professional development, memberships, etc.
- Manage special projects and initiatives assigned by the Senior Executive.
- Comply with organization policies and procedures, utilizing the highest standards of personal and professional ethics and behavior.
- Demonstrate good judgment, diplomacy, and courtesy. and effective communication when representing the organization.
- Other duties as assigned.
