We're looking for a Business Coordinator who can take ownership of the administrative side of our business, bringing greater organization, consistency, and accountability to our day-to-day business functions while continually looking for ways to improve how we operate.
This isn't a position where every responsibility or process is already defined. We're looking for someone comfortable working independently, identifying areas for improvement, building systems, and helping shape the position as the needs of the business evolve.
Areas of Responsibility
Responsibilities will include, but are not limited to:
- Administer payroll and maintain accurate payroll records
- Reconcile 401(k) contributions and assist with benefits administration
- Coordinate HR documentation, onboarding, and team member records
- Manage customer communication and help maintain a high level of customer service
- Maintain and improve our CRM and related administrative systems
- Manage invoicing, accounts receivable, collections, and accounts payable
- Maintain insurance certificates, business records, and compliance documentation
- Track business licenses, professional certifications, annual requirements, and renewals
- Manage vehicle registrations and other fleet-related administrative records
- Maintain organized cloud-based document and filing systems
- Coordinate vendors, purchasing, and office supplies
- Prepare and distribute business reports and analytics to ownership
- Develop, document, and improve administrative processes and standard operating procedures
- Maintain an organized, professional, and welcoming office environment for team members, customers, vendors, training, meetings, and company events
- Support ownership and team members with administrative needs as appropriate
- Take on additional responsibilities and projects as the position and needs of the business evolve

Experience & Qualifications
Professional administrative experience is strongly preferred, but we're more interested in demonstrated ability than a specific previous job title.
Experience in tree care, landscaping, construction, excavation, HVAC, plumbing, electrical, or another blue-collar service business would be particularly valuable.
Additional experience that would be beneficial includes:
- Payroll and benefits administration
- Human resources or team member administration
- Bookkeeping or accounting software
- Accounts payable and receivable
- CRM or business management software
- Business reporting and analytics
- Developing processes, procedures, or organizational systems
An associate's or bachelor's degree in Business, Human Resources, Accounting, or a related field is a plus but is not required. Relevant professional experience may be equally or more valuable.
