Job Overview
The Field Clerk is responsible for supporting daily union field operations by accurately tracking manpower, processing timesheets, and managing scaffold rental agreements. This role works closely with the Indianapolis and Corporate Field Services and Billing teams to ensure timely documentation, approvals, customer signatures, and proper job cost allocation. The Field Clerk plays a key role in maintaining organized, compliant, and up-to-date project records.
Schedule
The job schedule is 60 hours per week (six 10 hour days) with OT paid out for hours worked beyond 40 in the workweek.
Essential Job Functions
- Track and record daily manpower for assigned construction projects
- Prepare, process, and submit weekly timesheets using SharePoint
- Manage scaffold rental agreements, including preparation, updates, and tracking
- Utilize SharePoint to organize project documentation and route forms for approval
- Obtain customer signatures for timesheets, rental agreements, and related documents
- Coordinate closely with the Indianapolis Office Coordinator, Corporate Field Services, and Billing Department to ensure accurate and timely submissions
- Ensure all documentation is submitted in accordance with company and customer requirements
- Obtain job numbers as needed and ensure proper job cost coding
- Request, prepare, and complete purchase orders as required
- Maintain accurate, organized, and auditable project records
- Provide administrative support to field supervision as needed
- Other duties as assigned
Qualifications
- Education - high school diploma or equivalent is required
- Experience
- Two (2) years of Office Assistant experience is required
- Previous experience in construction administration, field support, or clerical roles preferred
Required Skills
- Ability to multitask and manage multiple tasks and deadlines in a fast-paced construction environment
- Ability to work in a team environment and with field personnel, office staff, and customers
- Familiarity with timesheets, job costing, and rental agreements strongly preferred
- Proficient in Microsoft Office Suite, particularly SharePoint
- Strong attention to detail and organizational skills
- Excellent communication and follow-up skills
Work Environment
- This job operates in a modular office setting (construction trailer)
Physical Requirements
- Remain in a stationary position for up to 80% of the time
- Occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operate a computer, keyboard, and mouse and other standard office machinery, such as copy machine, printer, and calculator
- Communicate accurate information and ideas so others will understand
- Observe details and read at close range
- Occasionally move or carry up to 20 pounds
- Predominantly complete work in an office setting
