Overview
An Office Administrator at Filli Cafe is responsible for ensuring smooth day-to-day office operations, supporting management, coordinating administrative activities, maintaining records, and assisting with communication between departments. Typical office administrator duties include managing schedules, handling correspondence, maintaining office supplies, preparing reports, and supporting HR and finance processes.
Duties
- Manage daily office operations and administrative activities.
- Handle incoming calls, emails, and visitor inquiries professionally.
- Maintain and update company records, files, and databases.
- Schedule meetings, appointments, and travel arrangements for management.
- Prepare reports, presentations, and business documents.
- Monitor office supplies and coordinate purchases when needed.
- Support HR activities such as employee documentation and onboarding.
- Assist with invoicing, expense tracking, stock room inventory and basic bookkeeping tasks.
- Coordinate with cafe branches, vendors, and service providers.
- Ensure compliance with company policies and office procedures.
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools (if needed)
- Perform data entry, proofread documents, and ensure accuracy in all administrative records
- Oversee calendar management for executives and team members, scheduling appointments and meetings with precision
- Support bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial record keeping
- Provide customer support by addressing inquiries promptly and courteously via phone or email
- Assist with clerical duties such as copying, scanning, faxing, and managing office supplies inventory
- Coordinate office management activities to ensure a clean, safe, and efficient work environment
- Handle personal assistant duties as needed to support team members’ schedules and commitment
Requirements
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to multitask and work under pressure.
- Attention to detail and problem-solving skills.
- Experience with office administration, customer service, or a similar role.
- High school diploma or bachelor's degree in Business Administration or a related field.
- 1–3 years of administrative or office management experience preferred.
- Knowledge of office procedures and record management.
