We are seeking an experienced, detail-oriented Medical Office Assistant to join our growing specialty practice. Our office focuses on orthopedics, sports medicine, pain management, and medicolegal/workers' compensation evaluations, and we're looking for someone who thrives in a fast-paced environment and enjoys coordinating complex patient care.
Responsibilities
- Perform both front office and back office duties.
- Answer patient calls and manage patient communications professionally.
- Coordinate physician orders and ensure timely completion and follow-up.
- Schedule patient appointments, Qualified Medical Evaluations (QMEs), depositions, Future Medical Care Plan assessments, physician meetings, and vendor appointments.
- Coordinate and optimize physician schedules.
- Maintain communication with physicians, attorneys, case managers, vendors, and staff.
- Follow up with attorneys regarding injured workers and medicolegal patients to ensure timely scheduling and continuity of care.
- Obtain prior authorizations through insurance portals (training available).
- Maintain inventory and office supplies.
- Assist with HIPAA and OSHA compliance.
- Perform phlebotomy (preferred).
Qualifications
Required
- Experience in Sports Medicine, Orthopedics, Neurosurgery, Pain Management, or another musculoskeletal specialty
- Experience working with workers' compensation and/or medicolegal cases preferred.
- Excellent multitasking, organization, and communication skills.
- Advanced Microsoft Excel skills (formulas, spreadsheets, data management).
- Tech-savvy with the ability to quickly learn new software.
Preferred
- Experience with Office Ally EMR/practice management software.
- Phlebotomy experience.
- Familiarity with obtaining insurance authorizations through payer portals.
Compensation & Benefits
- $21–$25/hour, depending on experience.
- Part-time (24–30 hours/week).
- Additional remote work opportunities may be available based on experience.

- Performance bonus eligibility after 6 months.

Health insurance is not currently offered.
