Job Overview
We are seeking a highly organized, proactive, and relationship-driven Dispatcher to join our logistics team. This hybrid role combines internal dispatch responsibilities with external freight coordination, customer service, and load management. The ideal candidate thrives in a fast-paced environment, communicates exceptionally well, and can manage both in-house fleet operations and third-party freight opportunities.
This role plays a critical part in ensuring our drivers, equipment, and freight move efficiently, safely, and profitably.
Primary Duties & Responsibilities
Dispatching & Fleet Coordination
- Efficiently staff daily trucking needs and manage driver schedules, routes, and job assignments.
- Track the real-time location and status of all company and contracted trucks/trailers.
- Maintain an up-to-date equipment list noting operating, non-operating, and down units.
- Communicate job assignments, destinations, special instructions, and timekeeping expectations to drivers daily.
- Confirm driver attendance, hours, and accurate punching into the proper job codes.
- Ensure all driver paperwork—including DVIRs, scale tickets, and trip documentation—is accurate, complete, and turned in promptly for timely invoicing.
- Train drivers on scale house procedures, DVIR practices, and company policies.
- Coordinate with the mechanic/diesel shop to ensure equipment is repaired and returned to service quickly.
- Reassign equipment or drivers as needed based on operational priorities.
- Dispatch backup trucks when breakdowns occur and coordinate trailer swaps, equipment retrievals, and job-to-job transitions.
- Monitor driver performance, time on task, and operational efficiency.
Customer Coordination
- Build and manage relationships with customers, shippers, carriers, and internal teams.
- Source, negotiate, and book freight loads to maximize fleet utilization and profitability.
- Develop and maintain a reliable carrier network and ensure compliance standards are met.
- Communicate load expectations, delivery windows, and special handling instructions with both drivers and customers.
- Resolve discrepancies in driver paperwork, load details, or freight documentation.
- Manage and escalate customer complaints appropriately and communicate issues at management meetings.
- Track shipments and provide real-time updates to customers and internal teams.
- Ensure accurate load data entry, rate confirmations, and documentation flow.
Administrative & Operational Duties
- Complete daily dispatch logs for accounting and reporting.
- Maintain lists of driver-to-truck assignments and update changes in real time.
- Assist with interviewing and onboarding new drivers.
- Support crew leaders during peak periods as needed.
- Uphold safety standards, operational consistency, and proper use of equipment.
- Perform all other duties as assigned to ensure smooth operations and excellent service delivery.
Required Skills & Qualifications

- Ability to multitask and coordinate several jobs simultaneously.
- Strong decision-making, problem-solving, and analytical skills.
- Able to work independently with minimal supervision.
- High attention to detail and strong time-management skills.
- Ability to remain calm and make on-the-spot decisions under pressure.
- Proficient with dispatching software, Excel, GPS tracking systems, and load boards.
- Bilingual English/Spanish required.
- Two years prior dispatching, freight brokerage, or transportation logistics experience preferred.
Job Type: Full-time
Pay: $40,000.00 - $50,000.00 per year
