Job Summary
We are a growing behavioral health, mental health and substance-use treatment practice in Atlanta, seeking a detail-oriented, compassionate, and organized Part-Time Office Administrator with Medical Billing experience. In this role, you will be the backbone of our daily operations, ensuring our clients receive a warm welcome while managing the critical administrative and financial workflows that keep our practice running smoothly.
Key Responsibilities
Office Administration & Client Relations
- Serve as the primary point of contact. Manage all front desk operations, greeting clients and visitors and handling inquiries with professionalism and courtesy.
- Use Simple Practice system and Google Workspace to coordinate clinician schedules, manage appointment bookings, and handle reminders to minimize no-shows.
- Maintain digital and physical client/agency records in compliance with HIPAA regulations and confidentiality standards.
- Perform data entry tasks accurately using spreadsheets, Word processing, and other Microsoft Office applications
- Handle phone systems, screen calls, and direct calls appropriately while maintaining excellent phone etiquette
- Maintain organized filing systems both digitally and physically to ensure easy retrieval of documents
- Proofread documents for accuracy and clarity before distribution or submission
- Oversee general office upkeep, order supplies, and support clinicians with administrative tasks and personal assistant duties as needed.
- Provide administrative support to various departments as needed, including personal assistant duties or medical/dental receptionist responsibilities
Qualifications and Skills
- Experience: Minimum of 1–2 years of experience in medical office administration preferred, specifically within mental health, behavioral health, or psychiatry settings.
- Regulatory Knowledge: Deep understanding of HIPAA guidelines and standard insurance processes preferred.
- Soft Skills: Exceptional verbal and written communication skills with a focus on professionalism and customer service excellence, a high level of empathy for individuals experiencing mental and/or behavioral health or substance-use challenges,
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong time management skills with the ability to prioritize tasks effectively
- Hard Skills: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with experience in data entry, spreadsheets, and productivity software
- Ability to operate multi-line phone systems efficiently while maintaining courteous interactions
- Bilingual abilities are a plus for enhanced client communication
- Previous office management or administrative experience preferred, including clerical tasks such as filing, proofreading, and calendar management
- Knowledge of QuickBooks or bookkeeping software is advantageous but not required
- Technical proficiency in office equipment and familiarity with office management procedures

Pay: $12.00 - $15.00 per hour
