Job Overview
We are seeking a professional, welcoming, and highly organized Client Coordinator to serve as the first point of contact for our clients. This role is essential in setting the tone for the sophisticated, client-centered experience we provide. The Client Coordinator represents our brand from the very first interaction and plays a key part in ensuring each client feels valued, cared for, and confident in their decision to trust us with their treatments.
We are a client-focused practice dedicated to delivering exceptional results and a supportive, personalized experience. The ideal candidate will communicate with warmth and professionalism, handle client questions or concerns with sensitivity, and ensure information is accurately relayed to the appropriate provider or team member so we can best serve our clients.
Schedule flexibility is required, including the ability to travel to our Grosse Pointe location as needed (approximately a few times per month).
Key Responsibilities
- Manage incoming calls with professionalism and courtesy, ensuring prompt and accurate responses
- Greet clients and visitors at the front desk, providing a warm and welcoming experience
- Schedule and coordinate appointments strategically using Aesthetic Record
- Maintain accurate client records through data entry and filing
- Provide exceptional customer support by addressing inquiries via phone or email, resolving issues efficiently, and escalating when necessary
- Enforce cancellation policies professionally and consistently
- Ensure smooth transitions between services and providers
- Identify and secure rebooking opportunities before clients leave
- Confidently recommend memberships and packages when appropriate
- Educate clients on current promotions, events, and available services in a helpful, informative way that feels supportive rather than sales-focused
- Maintain an organized, clean, and professional front office and lobby environment
Qualifications
- Exceptional communication and interpersonal skills
- Ability to navigate sensitive or difficult conversations with composure
- Strong organizational and time management skills
- High attention to detail, especially with data entry and documentation
- Proficiency with scheduling software and general computer systems
- Flexible schedule with willingness to travel between locations as needed
