Invictus Healthcare System is seeking an experienced and highly dependable Surgery Scheduler to coordinate neurosurgical and foot & ankle surgical procedures. This position is responsible for managing every aspect of the surgical scheduling process, including obtaining authorizations, coordinating with hospitals and surgery centers, securing medical clearances, and working closely with equipment and implant representatives. The ideal candidate will have extensive surgery scheduling experience, strong medical knowledge, exceptional organizational skills, and the ability to independently manage complex surgical cases from scheduling through completion.
Primary ResponsibilitiesSurgical Scheduling
- Schedule neurosurgical and foot & ankle surgical procedures.
- Coordinate operating room dates and times with hospitals and ambulatory surgery centers.
- Ensure surgical cases are scheduled accurately and efficiently.
- Manage provider surgical calendars and block time utilization.
- Coordinate pre-operative and post-operative appointments.
Insurance Authorizations
- Obtain insurance authorizations for surgeries
- Follow up on pending authorizations and appeals as needed.
- Maintain accurate authorization records and documentation.
Surgical Coordination
- Coordinate all required pre-operative testing and medical clearances.
- Communicate with primary care physicians, specialists, and facilities regarding clearance requirements.
- Verify that imaging, laboratory results, and required documentation are completed before surgery.
- Ensure all surgical paperwork is complete and submitted timely.
Hospital & Facility Coordination
- Serve as the primary liaison between the practice and hospitals, surgery centers, and ancillary facilities.
- Coordinate scheduling changes and communicate updates to all involved parties.
- Ensure compliance with facility-specific requirements and deadlines.
Implant & Equipment Coordination
- Coordinate with implant, biologics, hardware, and medical device representatives.
- Ensure vendor representatives receive appropriate case information and schedules.
Patient Communication
- Educate patients regarding surgery dates, arrival times, pre-operative instructions, and postoperative expectations.
- Answer patient questions and provide ongoing support throughout the surgical process.
- Maintain professional and compassionate communication with patients and families.
QualificationsRequired
- Minimum of 3-5 years of surgery scheduling experience.
- Strong knowledge of medical terminology, anatomy, and surgical procedures.
- Experience obtaining insurance authorizations and managing surgical clearances.
- Experience coordinating with hospitals, surgery centers, and physician offices.
- Strong understanding of Medicare and commercial insurance, authorization processes.
- Proficiency with electronic medical records (Intergy experience preferred).
- Excellent organizational and time management skills.
- Ability to manage multiple complex cases simultaneously.
- Exceptional attention to detail.
Preferred
- Neurosurgery scheduling experience.
- Orthopedic or foot & ankle surgery scheduling experience.
- Experience coordinating implants, hardware, biologics, and vendor representatives.
- Knowledge of spine procedures and surgical instrumentation.

Pay: $20.00 - $24.00 per hour
