I'm a Scottsdale Realtor and team lead, and I'm hiring the person who runs everything behind me.
This is not a receptionist job and it is not a "sit quietly and answer the phone" job. This is the person who owns the lists, the launches, the gifting, the events, the comps, and my calendar so I can stay in front of clients. You'll be the first person to know what's happening as my partner, and the reason none of it slips.

What you'll own...
Client care and gifting
- Managing our gifting calendar: closing gifts, birthdays, home anniversaries, thank you notes
- Running our 36 touch client care system so nobody falls through the cracks
- Building and maintaining our VIP list and referral tracker
Lists and database
- Keeping our CRM clean and current; logging conversations, updating records, tagging correctly
- Maintaining the weekly pipeline trackers
- Pulling and organizing lists for mailers, events, and campaigns
Marketing and content
- Quarterly mailers from concept to mailbox
- Bimonthly newsletters through Flodesk
- Templated brochures, flyers, and property collateral in Canva
- Uploading, organizing, and scheduling video content (as needed)
- Social media support (as needed)
Comps and research
- Building CMA packets before every listing appointment
- Pulling neighborhood data, HOA information, and market stats for client questions
- Prepping listing and buyer presentations so I walk in ready
Transaction and client support (non licensed activities)
- Coordinating photographers, stagers, sign installs, and inspections
- Building timelines and deadline trackers for every file
- Sending process and milestone updates so clients always know what's next
- Open house logistics and follow up entry
Events
- Planning and prepping our client events: happy hours, wine tastings, game nights, Christmas parties
- Vendor coordination, RSVPs, supplies, setup, and the day of details
The Team Lead
- Calendar management and daily inbox triage
- Travel booking and itineraries
- Appointment prep and daily briefs
- Protecting my prospecting time, which is the most important thing on this list
What you should know...
Qualifications
- High school diploma or equivalent
- 2 to 3 years of experience in marketing, business operations, administration, or real estate
- Excellent written communication; you'll be emailing our clients directly
- Comfortable with technology and quick to learn new systems (we use Canva, Google Workspace, Flodesk, AI tools like ChatGPT and Claude, and Lofty/other CRMs)
- Reliable transportation, a valid Arizona driver license, and the ability to work in our Old Town Scottsdale office 3 days per week
- Discreet and trustworthy; you'll see contracts and personal client information
- Available for occasional evenings and weekends during peak transaction periods and client events
- Willing to complete a DISC assessment as part of our hiring process
Schedule
We're starting this role part time at 25 to 30 hours per week for the first month, moving to full time as you take ownership and the workload grows.
Three days a week, we work out of our Old Town Scottsdale office. The rest is flexible. Expect few occasional evenings and weekends during peak transaction periods and/or client events.
Compensation
Starting at $20.00-22.50 an hour dependent on experience, with opportunity for bonuses!
Paid time off is included for all national/federal holidays.
