We are seeking a dynamic and organized Receptionist and Assistant to join our team! Duties
- Greet visitors warmly and professionally, ensuring a positive first impression
- Answer and direct calls using multi-line phone systems with courteous phone etiquette
- Manage incoming correspondence, emails, and inquiries promptly and accurately
- Maintain organized filing systems, data entry, and document proofreading to ensure accuracy
- Assist with calendar management, scheduling appointments, and coordinating meetings
- Support office management tasks such as ordering supplies, maintaining inventory, and overseeing office cleanliness
- Provide clerical support including typing reports, preparing documents in Microsoft Office and Google Workspace, and performing bookkeeping tasks using QuickBooks
- Handle customer support requests with professionalism and efficiency
- Perform general administrative duties such as photocopying, faxing, filing, and data entry to streamline office operations
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Experience with multi-line phone systems and phone etiquette is essential
- Bilingual abilities are highly desirable to serve diverse clients effectively
- Prior experience in customer service or personal assistant roles is preferred
- Knowledge of QuickBooks for bookkeeping or basic accounting is a plus
- Exceptional organizational skills with the ability to prioritize tasks efficiently
