The Front Desk is responsible for performing general administrative duties of the facility as well as assistance with front-desk related tasks. They may be required to assist in other areas as required. Other duties may be assigned as necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Employee must be able to perform the following essential functions to the satisfaction of the employee’s supervisor.
KNOWLEDGE, SKILLS, and ABILITIES:
Knowledge of department and college policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations.
Knowledge of proper telephone techniques. Knowledge of general office procedures and office filing systems.
Knowledge of basic computer skills and Microsoft office programs. Ability to work accurately and efficiently.
Ability to establish and maintain cooperative working relationships with other employees.
Qualifications and Skills:
- Greet visitors, students, and/or employees and respond to inquiries, requests for information and provide assistance.
- Answer phones and respond to voice or e-mail messages.
- Coordinate scheduling of study rooms, computer lab, and meeting rooms. Maintain the department calendars.
- Assist students with printing, photocopying, and scanning of documents.
- Maintain inventory of campus for students, faculty, and staff. Update as needed.
- Maintain inventory of office supplies and order as needed.
- Perform typing, word processing, or data entry tasks involving preparation of letters, reports, forms, and/or spreadsheets.
- Prepare outgoing mail. Pick up and distribute incoming mail to appropriate personnel.
- Duplicate, collate, sort, and/or alphabetize materials.
- File documents and maintain filing systems.
- Notify appropriate department or agency regarding equipment malfunction or maintenance needs.
- Conduct college business in a professional and ethical manner that includes the College’s core values of integrity, diversity, empowerment, service, learning and collaboration.
- Communicate effectively in a professional, tactful and courteous manner with students, employees, faculty and the general public.
- Ensure that all activities are conducted within the established College policies, FERPA guidelines and other applicable laws pertaining to employment and education.
- Perform assigned responsibilities, other related duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner and with minimal supervision.
QUALIFICATIONS
- Associate degree or two years post high school education in administrative assistant or related field required. Coursework in management and human relations or related fields preferred.
- Three (3) to five (5) years’ experience working at the executive secretary level required.
- Must be proficient in the English language for both grammar and composition purposes and spelling in order to communicate effectively, to prepare reports, record minutes of meetings, and to compose routine correspondence and other directives.
- Ability to work with and adapt to various personalities and all levels of personnel within the office.
- Proficient secretarial and analytical skills to include: typing (minimum 55 WPM), filing, dictation, proofreading and editing correspondence, duplication equipment, and standard computer software programs, including the use of spreadsheets, power point presentations, and electronic mail.
- Must project a highly professional image to contacts both in person and on the phone.
- Must have exceptional organizational skills including the ability to prioritize work.
- Must show initiative, the ability to learn new software applications as applicable and be able to work without supervision.
- Verbal ability is necessary to communicate with health center personnel and personnel of outside agencies as well as citizens of the community.
- Numerical and analytical ability is necessary to prepare statistical reports and other reports that require calculations and compilation of data.
- Position requires considerable use of discretion, tact, diplomacy and judgment.
- Must have the ability to maintain security of student records and confidential personnel information .
- Familiarity with medical and legal terminology helpful but not mandatory.
