Job Summary
We are seeking a proactive and highly organized Executive Assistant to join our dynamic team. Responsibilities
- Manage and maintain detailed calendars, scheduling meetings, appointments, and travel arrangements with precision.
- Handle incoming calls using multi-line phone systems, directing inquiries with professionalism and courtesy while practicing excellent phone etiquette.
- Prepare, proofread, and format correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace productivity software.
- Coordinate office operations including filing, data entry, bookkeeping, and maintaining organized records for easy retrieval.
- Assist with client communication and customer support efforts to ensure a positive experience for all stakeholders.
- Oversee office management tasks such as supply inventory, front desk duties, and ensuring a welcoming environment for visitors.
- Support special projects by conducting research, creating spreadsheets for data analysis, and managing deadlines efficiently through effective time management skills.
Experience
- Proven experience as an Executive Assistant or in a similar administrative role with at least two years of office management or clerical experience.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and data entry tasks.
- Strong computer literacy with technical proficiency in office productivity software and familiarity with QuickBooks or bookkeeping software is preferred.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Bilingual abilities are a plus to facilitate communication with diverse clients and team members.
- Previous experience in medical or dental reception is advantageous but not required; relevant personal assistant experience is also valued.
- Exceptional customer service skills combined with professional phone communication and front desk management expertise.
