Job Title: Procurement Coordinator
Location: Hybrid/Remote
Position Summary
The Procurement Coordinator provides essential administrative and operational support to ensure efficient purchasing, vendor management, compliance tracking, and day-to-day supply chain needs across clinic locations. This role plays a key part in maintaining smooth clinic operations by coordinating supplies, utilities, documentation, and expense tracking while supporting leadership with administrative tasks.
Key Responsibilities
Administrative & Leadership Support
- Provide direct administrative support to leadership as needed
- Maintain organized records, documentation, and internal tracking systems
Supply Chain & Procurement
- Manage clinic supply ordering, including routine replenishment and urgent/emergency orders
- Monitor inventory needs and coordinate timely procurement to support clinic operations
- Communicate with vendors to ensure accurate and efficient order fulfillment
Compliance & Regulatory Support
- Assist with clinic compliance tasks, including state tax setup and related documentation
- Support ongoing regulatory and operational requirements to ensure clinic adherence to standards
Utilities & Account Management
- Coordinate utility setup for new and existing clinic locations
- Track utility accounts and ensure timely monthly payments and account accuracy
Financial Tracking & Reporting
- Monitor and track monthly spending, expenses, and procurement-related costs
- Assist with state reporting and invoicing processes as needed
Events & Coordination
- Support event coordination including registrations, sign-ups, and logistical planning
Communication & Vendor Relations
- Communicate professionally with vendors, service providers, and internal team members
- Maintain strong relationships to support cost-effective and timely procurement solutions
Qualifications
- Prior experience in procurement, administrative support, or operations coordination preferred
- Strong organizational and time-management skills
- High attention to detail and accuracy in documentation and tracking
- Proficiency with Microsoft Office or similar systems
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication and problem-solving skills
