Responsibilities
- Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and financial data entry
- Maintain accurate records through meticulous filing and data entry practices
- Handle front desk responsibilities, greeting visitors and managing multi-line phone systems with professionalism and warmth
- Provide outstanding customer support via phone, email, and in person, ensuring positive interactions and effective communication
- Oversee office management tasks such as calendar scheduling, appointment setting, and proofing documents for accuracy
- Support administrative functions including proofreading correspondence, organizing files, and managing office supplies
- Assist with personal assistant duties when needed, including calendar management and light administrative tasks
Qualifications
- Proven experience in office management or administrative roles with clerical experience preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or other accounting software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are a plus to serve diverse client needs effectively
- Exceptional phone etiquette and customer service skills to create a welcoming environment at the front desk
- Experience in medical or dental receptionist roles is advantageous but not required
- Personal assistant experience or familiarity with calendar management enhances your fit for this role
