Job Summary
The On-Site Property Manager is directly responsible for the operational excellence, financial performance, and regulatory compliance of the assigned residential property. This role balances high-touch customer service with strict operational discipline to maximize occupancy, control expenses, protect the physical asset, and foster a positive community environment.
Leasing & Occupancy Management
- Lease Execution: Conduct property tours, manage inquiries, and close leases to meet conversion targets.
- Online Marketing Accuracy: Verify that rental rates, availability, unit details, amenities, and concessions are accurate online.
- Visual Quality Control: Review listing photos for accuracy and coordinate updates for low-quality or outdated images.
- Compelling Descriptions: Maintain engaging, accurate unit descriptions highlighting amenities, upgrades, and key selling points.
- Market Insights: Share prospect feedback, pricing objections, and competitor trends to help optimize marketing strategies.
- Occupancy Goals: Keep physical vacancy below 5% and limit unit vacancy to under 30 consecutive days.
- Turnover Readiness: Partner with maintenance to ensure vacant units are fully rent-ready within 13 days of move-out.
Financial & Revenue Administration
- Rent Optimization: Oversee timely monthly rent collection, aiming to keep property delinquency strictly under 10%.
- Accounts Receivable: Batch and submit all collected rental funds to the Corporate Accounts Receivable/Accounting team by the 5th of every month.
- Financial Reporting: Compile and submit the weekly Delinquency Report alongside any required local financial health logs.
- Move-Out Accounting: Process and submit all Security Deposit Returns (SDRs) with accurate damage deductions within 13 days of a tenant's move-out.
Tenant Relations & Lifecycle Operations
- Onboarding & Offboarding: Conduct physical move-in and move-out inspections. Document conditions with mandatory photos, complete required regulatory forms, and lead tenant orientations.
- Resident Retention: Follow up with new residents within seven days of move-in to ensure satisfaction and proactively request Google reviews to boost property reputation.
- Tenancy Adjustments: Forward all formal Notices to Vacate to the designated contact within 24 hours of receipt.
- Utility Management: Update and reconcile tenant accounts in the designated billing system immediately upon move-in or move-out.
Maintenance Coordination & Asset Protection
- Property Inspections: Inspect the entire property daily to assess curb appeal, identify maintenance hazards, and inspect the condition of vacant units.
- Work Order Administration: Log all resident and property maintenance requests into AppFolio within 24 hours; ensure accurate notes and appropriate priority tags are assigned.
- Vendor Management: Oversee contracted vendors on-site. Follow up within 24 hours if a vendor fails to provide a scheduled progress or completion update.
- Property Presentation Readiness: Maintain a clean and pristine property appearance by ensuring light housekeeping, debris removal, or minor organizational tasks are completed as needed.
Administrative Discipline & Technology Compliance
- Task Management: Review all assigned work, internal calendars, and project management platforms at the start of every business day.
- Communication Standards: Maintain a professional response time of under 24 business hours for all internal and external email correspondences.
- Professional Development: Maintain 100% current completion status on Grace Hill courses and all other mandated corporate training modules.
- Corporate Compliance: Protect the absolute confidentiality of resident files, personal identifiable information (PII), and internal company data.
- Timekeeping: Accurately log hours and submit approved timesheets by 5:00 PM on the 1st and 16th of each month.

- Sitting: Frequent.

- Lifting / Carrying: Occasional (up to 50 lbs).
- Pushing / Pulling: Occasional (up to 50 lbs).
