Overview
We are seeking a highly adaptable, organized, and self-driven Administrative Assistant & Front Desk Coordinator to provide direct administrative support to our VP of Operations while serving as the first point of contact for visitors, clients, and vendors. This role is primarily focused on administrative and operational support in a fast-paced manufacturing environment, with front desk responsibilities representing a smaller but important part of the position. The ideal candidate is proactive, thrives in a dynamic setting, can effectively manage competing priorities, and takes initiative with minimal supervision.
Administrative Support (80%)
- Provide direct administrative support to the VP of Operations, including scheduling, correspondence, document management, and coordination of meetings and operational tasks.
- Prepare reports, presentations, and spreadsheets using Microsoft Office (Word, Excel) and Google Sheets.
- Track action items, deadlines, priorities, and internal records to support production, shipping, and order management.
- Assist with production plan execution, including order tracking, batch planning, label/component coordination, shipping documentation, and vendor communication.
- Maintain organized files and support operational documentation, including customer-supplied items, vendor orders, shipment records, SOP administration, and customer complaint follow-up.
- Move fluidly between departments and priorities as operational needs demand.
Front Desk Coordinator (20%)
- Serve as the first point of contact by professionally welcoming clients, visitors, vendors, and delivery personnel.
- Answer and route incoming phone calls, emails, and other correspondence to the appropriate team members.
- Maintain a clean, organized, and professional reception area that reflects the company's standards.
- Coordinate visitor check-ins and direct guests to the appropriate staff member or department.
- Support general office organization and ensure the front office remains presentable throughout the day.
Qualifications
Required:
- Bilingual (Spanish and English)
- Proficiency in Microsoft Word and Excel
- Strong verbal and written communication skills
- Ability to work independently with minimal supervision
- Excellent organizational and multitasking abilities
- Professional, polished demeanor with clients and visitors
- Comfortable working in and around a manufacturing/warehouse environment
- Willingness to be highly mobile across the facility
Preferred
- Experience with Google Sheets and Google Workspace
- Background supporting operations or executive-level staff
- Experience in a manufacturing, CPG, or personal care industry setting
- Prior front desk or client-facing experience
Schedule:
- Monday- Friday
- 7:30am - 4:00pm.
Pay: $18.00 - $22.00 per hour
Work Location: In person
