Job Description for
Position: Facility Rentals & Volunteer Coordinator
Reports: Directly to: President/CEO
Summary
The Greater Jacksonville Agricultural Fair is a Not-for-profit 501© 3 organization chartered under the Florida Department of Agriculture. The fair promotes agricultural education and produces an annual wholesome family fun event with various entertainment options for northeast Florida residents. Beyond the 11 days of the fair, in November, there are events scheduled most weekends in Duval Hall, the Grounds, and the Amphitheater the rest of the year.
Areas of Responsibilities
Non-Fair Rental
· Solicit Non-Fair rental of the fairgrounds.
· Maintain accurate records for Non-Fair rental.
· Conduct all pre-event planning sessions
· Monitor all contractual obligations.
· Coordinate Non-Fair events with concessionaire and grounds management.
· Coordinate all security needs for Non-Fair rental.
· Coordinate Non-Fair rental activity with outside vendors.
· Implement contracts and insurance for Non-Fair rentals.
Fair Volunteer Coordinator
· Recruit, screen, run orientation sessions, schedule and lead training programs
· Direct setup, run day-of logistics, lead check-in tables, and manage breakdown
· Plan recognition events and appreciation programs
· Other duties as needed
Administrative Duties
· Produce all proposals.
· Produce all contracts.
· Produce and collect all invoices and monies due.
· Attend Association committee meetings as requested by President/CEO.
· Produce monthly reports.
· Produce all event notices and distribute to all staff on a timely basis.
· Submit a monthly report of sales to the President/CEO.
· Prepare and submit an activity report for the Board of Directors meeting on a monthly basis.
· Maintain a current database of contact details, availability, and logged hours for volunteers.
· All other duties as assigned by the President/CEO / Board.
JOB QUALIFICATIONS:
· Exceptional communications skills both verbal and written required.
· Proficient in Microsoft Office Suite and other computer applications.
· 1 to 3 years in event planning or hospitality operations.
· High School diploma or GED required. Four year degree preferred (years of military service or industry related employment may substitute for degree).
· Excellent problem solving, multi-tasking and interpersonal skills.
· Fair Industry experiences a plus.
· Ability to work nights and weekend during event rentals and during the Fair
