is a new, mission-focused legal tech start-up with a goal of making the process of clearing a record simple and affordable for everyone. Rasa Legal, PBC is the technology company that builds the tools and workflows our subsidiary law firm uses to help the clients we serve achieve their goals.
To help our team continue to make an impact, we are looking for an office manager and administrative assistant. Specifically, we’re looking for someone looking for the next step in their career and ready to own the following responsibilities: Office Management and Administration (approximately 50% of role)
● Mail and correspondence: Receive, sort, log, scan, and distribute all incoming physical and electronic mail, including service of process, court notices, and time-sensitive correspondence; route deadline-bearing items to the responsible attorney the same business day of receipt.
● Accounts payable support: Prepare and draft checks, ACH requests, and payment packets for vendor invoices, operating expenses, and reimbursements from the firm's operating account; match invoices to approvals; maintain complete supporting documentation for each disbursement; and submit all payments to our Controller for review and signature.
● Vendor management: Serve as the primary point of contact for office vendors and service providers (e.g., [IT, copier, cleaning, courier, insurance, subscriptions, office supplies]); track contract renewal dates and terms; obtain competing quotes; flag pricing changes and escalate contract decisions to members of leadership.
● Facilities and supplies: Maintain the physical office in a professional, client-ready condition; manage inventory and ordering of supplies within an approved budget; coordinate building access, keys, parking, and maintenance requests.
● Event coordination: Plan and execute internal and external events, including [team meetings, client meetings, CLE sessions, board and shareholder meetings, retreats, holiday events]; manage logistics, catering, space, materials, and budget reconciliation.
● Employee onboarding/offboarding and HR-related support: Order, track, and coordinate the setup of computers, monitors, accessories, and other office/remote home office technology for new employees, partnering with the IT vendor and employee’s manager to ensure a seamless onboarding experience, to also include the setup of necessary licenses/access to all software platforms as applicable; coordinate the recovery of company-issued technology assets during employee offboarding; create and maintain welcome materials for new hires; assist the Controller with scheduling, document collection, and personnel file maintenance as directed.
● Reception and client experience: Greet clients and visitors, answer and route main-line calls, and ensure every client interaction reflects the professionalism of the firm.
Administrative Support to the CEO (approximately 50% of role)
● Calendar ownership: Manage the CEO's calendar end-to-end, including scheduling, confirming, rescheduling, and sequencing meetings; build in preparation and transition time; resolve conflicts independently using an understanding of the CEO's stated priorities.
● Gatekeeping and time protection: Serve as the first point of contact for inbound requests for the CEO's time; triage by urgency and strategic importance; decline, defer, delegate, or redirect requests as appropriate; and protect blocks of focused work time. Communicate declines and deferrals graciously and in a manner that preserves relationships.
● Travel: Research, book, and manage all travel, including flights, lodging, ground transportation, and itineraries; anticipate and resolve disruptions in real time; prepare detailed travel packets in advance of departure.
● Meeting preparation and follow-through: Assemble agendas, background materials, and briefing notes ahead of meetings; capture action items; and track commitments to completion so that nothing raised in a meeting is lost.
● Confidential project support: Support special projects, board and investor materials, and executive initiatives, frequently involving sensitive personnel, financial, strategic, or client information.
● Anticipatory support: Track recurring obligations, deadlines, renewals, and follow-ups on the CEO's behalf and surface them proactively rather than waiting to be asked.
Qualifications
● Associate's degree or equivalent combination of education and experience; Bachelor's degree preferred.
● Minimum 3–5 years of progressively responsible experience in office management, administrative assistance, or a comparable role.
● Demonstrated experience managing calendars and travel.
● Demonstrated experience handling confidential information with discretion.
● Proficiency with Google Workspace, including calendar, email, docs, and sheets.
● Basic proficiency using AI to drive efficiency and impact in their day-to-day responsibilities, while observing intellectual property concerns.
● Strong written and verbal communication skills, including the ability to draft polished, error-free correspondence.
● Ability to manage multiple competing priorities and consistently meet deadlines without reminders.
● Successful completion of a background check [and conflicts screening] as a condition of employment.
Preferred Skills
● Experience in a law firm, legal department, or other professional services environment.
● Experience with accounts payable workflows and accounting software (e.g., QuickBooks, etc.)
● Experience coordinating professional events.
